Job description

ROLE OVERVIEW 
 
Pivot Energy seeks a highly organized, detail-oriented operations professional to join the Origination team as Contract Associate, Sales Operations. This role is responsible for overseeing Origination agreements, document workflows, due diligence coordination, easement execution, and system accuracy across Pivot's origination pipeline. The Contract Associate, Sales Operations will serve as a key operational bridge between Origination, Legal, PDE, and external partners to ensure that all land, title, and contractual documentation is accurate, complete, timely, and properly stored.  
PRIMARY RESPONSIBILITIES
  • Own Contract Check-In Process: Review, QA/QC, and route solar leases, amendments, terminations, and related agreements for execution for the Origination teams. 

  • Manage title report ordering & document recording processes. Manage 3rd party relationships with title report and recording services. Manage associated invoicing. 

  • Coordinate additional legal documentation needs with Pivot's Legal team. Resolve discrepancies with deed/title and lease agreements. 

  • Maintain clean, accurate digital and physical filing systems for leases and other contracts. 

  • Support the Territory Manager, Easements via tracking easement negotiations, landowner outreach, documentation status, and key milestones 

  • Oversee logistics for team retreats and summits. 

  • Assist with miscellaneous/special/high-level projects as determined by Originations leadership, including projects for the other teams as necessary. 

  • Optimize and automate administrative processes. 

  • Compile the initial monthly project commission list for Originations Leadership. 

REQUIRED COMPETENCIES
  • 0-3 Years of Experience in Administration, Operations, or Business Environments 

  • Experience with using AI and automations 

  • Exceptional attention to detail in high-volume, document-driven environments 

  • Strong organizational and time management skills 

  • Excellent communication and interpersonal skills 

  • Ability to work independently and collaboratively in a team environment 

  • Active notary license 

PREFERRED COMPETENCIES
  • Experience reviewing legal, land, and title documents 

  • Title and due diligence experience 

  • Familiarity with Salesforce, Smartsheet, and Asana 

  • Familiarity with Google Earth and/or ArcGIS 

$60,000 - $80,000 a year
COMPENSATION & BENEFITS  

The estimated base salary range for this position is $60,000-$80,000 depending on relevant experience, along with eligibility for the company's substantial bonus plan, with a target bonus of 30% of annual salary (prorated in first year based on start date).
