Job description

POSITION SUMMARY

We are seeking an experienced Administrator to lead the day-to-day operation of our Adult Care Facility. The Administrator is the licensed operator’s designated on-site leader and is accountable for regulatory compliance, resident well-being, census and revenue performance, staff development, and the overall culture of the community.

This is a hands-on leadership role. You will be visible on the floor, known by name to residents and families, and responsible for making sure that what happens in the building matches what our policies and our license say should happen.

KEY RESPONSIBILITIES

Regulatory Compliance & Licensing

•     Operate the residence in full compliance with all applicable federal, state, and local requirements.

•     Serve as the primary point of contact for NYSDOH surveyors; manage inspections, prepare and execute plans of correction, and track corrective actions to closure.

•     Ensure timely investigation and reporting of reportable incidents to the Department, and maintain accurate incident and complaint logs.

•     Maintain resident records, admission agreements, and individualized service plans in compliance with regulation and facility policy.

•     Oversee admission, retention, and discharge decisions to ensure every resident’s needs can be safely met within the facility’s licensed scope.

•     Maintain and update facility policies, emergency and disaster plans, and required postings; review annually and after any regulatory change.

Resident Care & Quality

•     Partner with the Case Manager, Director of Patient Services, and staff to ensure services are delivered as written in each resident’s service plan.

•     Monitor quality indicators — falls, medication errors, hospital transfers, infection control, resident satisfaction — and lead improvement efforts where trends emerge.

•     Uphold resident rights, dignity, and choice; ensure grievances are received, documented, and resolved promptly.

•     Support an active resident council and a meaningful life-enrichment and dining program.

Operations & Financial Management

•     Lead census development: local outreach, referral relationships with hospitals, discharge planners, and community agencies, tours, and move-in conversion.

•     Ensure the physical plant, life-safety systems, and housekeeping meet regulatory standards and feel like a home, not an institution.

Staff Leadership

•     Recruit, hire, train, schedule, supervise, and evaluate department heads and staff; maintain staffing levels that meet regulatory and resident-need requirements.

•     Verify that all staff complete required pre-service and annual in-service training and that credentials, health clearances, and background checks stay current.

•     Build a culture of accountability and retention; conduct regular rounds, staff meetings, and performance conversations.

Family & Community Relations

•     Serve as the primary contact for families on care, billing, and service questions; communicate proactively during changes in condition or facility incidents.

•     Represent the residence with regulators, referral partners, and community organizations.

REQUIRED QUALIFICATIONS:

Associate degree or Bachelor’s degree

Minimum 5 years experience in a supervisory position in Adult Care, Nursing Home, or Senior Living

PREFERRED QUALIFICATIONS

•     Prior experience as an Administrator or Executive Director in a New York adult home, enriched housing program, assisted living residence.

•     Direct experience managing a NYSDOH survey and writing an accepted plan of correction.

•     Licensed Nursing Home Administrator (NY), or a degree in health administration, social work, gerontology, or a related field.

•     Experience with memory care, an Assisted Living Program (ALP), or Special Needs ALR certification.

•     Familiarity with electronic health record and census systems.

•     Proven track record of census growth and staff retention.

COMPENSATION & BENEFITS

Salary range: $115,000 to $140,000 per year. Final compensation depends on experience, credentials, and licensed capacity of the residence.

Benefits include:

•     Medical

•     Paid Time Off

•     401(k)
