Position Overview
The Administrative Assistant II position, located at Logan Correctional Center, serves as a confidential assistant to the Warden. This position serves as full-line supervisor, Employee Review Hearing Officer, and Labor Relations Liaison with DOC Labor and Central Management Systems (CMS). In addition, this position gathers data and complies studies and correspondence and serves as Chairperson and member of various committees as designated by the Warden. Essential Functions
  • Serves as full-line supervisor.
  • Serves as Employee Review Hearing Officer.
  • Serves as Labor Relations Liaison with DOC Labor and Central Management System (CMS).
  • Gathers data and compiles studies and correspondence of a sensitive and controversial nature.
  • Serves as Chairperson and member of various committees as designated by the Warden
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications
  • Requires knowledge, skill, and mental development equivalent to completion of (4) four years of college, preferably with courses in public or business administration.
  • Requires (2) two years of professional experience in a public or private organization.

Preferred Qualifications
  • Prefers at least one (1) year of implementing an employee discipline process at a public or private organization.
  • Prefers at least one (1) year of working experience in a correctional setting.
  • Prefers at least two (2) years of experience implementing personnel and/or labor relations policies and/or practices.
  • Prefers at least one (1) year of professional experience communicating and interacting with management, representatives of government, private industry, and/or the public.
  • Prefers at least one (1) year of experience working with and maintaining confidential information.
  • Prefers at least one (1) year of professional experience working with databases, spreadsheets, and word processing software.
  • Prefers at least one (1) year of professional experience researching and gathering information to respond to letters, phone calls, and inquiries from the public, public or private entities, and the media.
  • Prefers at least one (1) year of experience writing reports for upper management.
  • Prefers at least one (1) year of experience researching and interpreting bargaining unit contracts.
  • Prefers at least one (1) year of experience managing high level administrative projects.

Conditions of Employment
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Requires incumbent to become a Notary within the first four (4) months of being placed in the position and requires incumbent to maintain active Notary status once it's obtained.
  • This position has been found to meet the requirements in section 4A-101 of the Illinois Governmental Ethics Act requiring the occupant/employee to file a Statement of Economic Interest. The Illinois Governmental Ethics Act (5 ILCS 420/4A et seq.) requires certain state officials and employees to file annual Statements of Economic Interest with the Office of the Secretary of State that will be made available for examination and copying by the public. All employees required to file a Statement of Economic Interest are also required to file the Supplemental Statement of Economic Interest with the Executive Ethics Commission. (See Executive Order 15-09) Fines and penalties apply to untimely filings.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
