The Opportunity

As an Executive Assistant, you will provide high-level strategic and administrative support to the Global Head of Ethics, ESG and Compliance, as well as to the Global Director, Earth & Environment, while contributing to the smooth operation and impact of WSP's global programs.

This position is based at our head office at 1600 Rene-Levesque West Boulevard and requires an on-site presence of four days per week.

Your Impact

  • Effectively support two global executives by proactively managing their calendars, emails, travel, expenses, and timesheets. 

  • Coordinate strategic and operational meetings (teams, committees, boards), including invitations, logistics, attendance tracking, recordings, and distribution of deliverables. 

  • Maintain a centralized Outlook/Teams calendar of key events (Board reporting, GLT meetings, ESG and Ethics committees). 

  • Support the preparation, review, and updating of executive documents and presentations.

  • Play a central role in coordinating the annual sustainability report, CNTP, and other ESG disclosures, including the French version. 

  • Support the review, translation, and publication of policies, guidelines, and communications related to ethics and sustainability programs. 

  • Ensure the publication and updating of content on internal platforms (Canopy, SharePoint, Teams) and external channels. 

  • Contribute to operational efficiency by managing vendors, purchase orders, invoicing, and financial follow-ups.

  • Over 10 years of professional experience within a large organization, including at least 5 years as an Executive or Senior Assistant. 

  • Excellent written and verbal communication skills in both French and English, within an international context. 

  • Advanced proficiency in Microsoft Outlook, Teams, PowerPoint, and the Office suite; knowledge of SharePoint and an ERP system is an asset. 

  • Proven ability to manage multiple priorities, tight deadlines, and diverse stakeholders. 

  • Strong organizational and planning skills, with a high degree of autonomy in a growing environment. 

  • High level of professional judgment and absolute discretion in handling sensitive and confidential information.

  • Bilingualism (English-French) because the individual will frequently be involved with the review and translation of documents.
