The Role: Keep Things Moving

This is a hands-on coordination role for someone who is organized, proactive, and comfortable managing many small but important moving pieces.


You will support the CEO across marketing execution, operations, finance administration, HR coordination, and event logistics. The work is varied, practical, and execution-focused.


We are not looking for a strategist, manager, or passive task-taker. We are looking for someone who can clarify what needs to happen, follow up consistently, and keep work moving without needing to be reminded.


Your Responsibilities

1. Marketing Execution & Coordination (60%)

  • Content Deployment: Publish content across our website, social media, and newsletters. You ensure the calendar stays on track.
  • Production Traffic Control: Coordinate the workflow for our podcast and video production by managing external collaborators (editors, writers, and our offshore team).
  • Event & Travel Coordination: Handle the hands-on coordination for events, booking travel, organizing booth materials, and managing shipping logistics for trade shows.
  • Tool Support: Keep our HubSpot portal clean and operational (sending newsletters, updating lead lists, and tracking basic metrics).

2. Operations & Administration (40%)

  • Financial Flow Support: Assist with the monthly billing cycle and follow up on unpaid invoices. You ensure the data is ready and reminders are sent.
  • Process Tracking: Keep the CEOs internal commitments organized by updating weekly financial trackers and flagging upcoming deadlines.
  • HR & Team Coordination: Support payroll preparation, process expense reimbursements, and handle the logistics for team-building events.
  • General Coordination Support: Handle recurring and ad hoc administrative tasks that support smooth day-to-day operations.

  • Proactive Coordinator: You treat every task as an outcome to deliver, not just a box to check. You follow up consistently and close the loop.
  • Resourceful: You are comfortable with ambiguity. If you don't have the answer, you look for answers before escalating.
  • Detail-Oriented: You catch the typos, the missing attachments, and the scheduling conflicts before they happen.

  • Bilingual: Excellent written and spoken French and English.

Vos responsabilits

1. Excution et coordination marketing (60 %)

  • Dploiement de contenu : Publier du contenu sur notre site Web, nos rseaux sociaux et nos infolettres. Vous veillez au respect du calendrier ditorial.
  • Contrle du flux de production : Coordonner le flux de travail pour nos balados et nos productions vido en grant les collaborateurs externes (monteurs, rdacteurs et notre quipe offshore).
  • Coordination d'vnements et de voyages : Grer la logistique concrte des vnements, la rservation des voyages, l'organisation du matriel de kiosque et la logistique d'expdition pour les salons professionnels.
  • Soutien technique : Maintenir notre portail HubSpot propre et oprationnel (envoi d'infolettres, mise jour des listes de prospects et suivi des mtriques de base).

2. Oprations et administration (40 %)

  • Soutien au flux financier : Soutenir le cycle de facturation mensuel et assurer le suivi des factures impayes. Vous vous assurez que les donnes sont prtes et que les rappels sont envoys.
  • Suivi des processus : Garder les engagements internes du PDG organiss en mettant jour les suivis financiers hebdomadaires et en signalant les chances venir.
  • Coordination RH et quipe : Soutenir la prparation de la paie, traiter les remboursements de dpenses et grer la logistique des activits team building.
  • Soutien administratif gnral : Grer les tches administratives rcurrentes et ponctuelles qui favorisent le bon droulement des oprations quotidiennes.
