Description:

Position Title: Assistant Transportation Manager

Reporting To: This position reports directly to the Head of Transportation and the department falls under the supervision of the CEO.


Job Overview

Supports daily fleet and warehouse transportation operations by coordinating preventive vehicle maintenance and ensuring full DOT compliance, overseeing seasonal driver training and onboarding, and managing internal driver transfers to maintain timely product flow between facilities and supermarkets. This position provides leadership in the Transportation Managerโ€™s absence and develops, updates, and trains staff on standard operating procedures to ensure consistent, safe, and efficient operations


Responsibilities and Duties

1. Vehicle Maintenance. Coordination of preventive maintenance for all company vehicles. Logging of maintenance activity. Ensuring all vehicles operating within DOT regulations

2. Driver Training and Onboarding. Develop and maintain training plans for seasonal driver hiring. Ensure all onboarding requirements for the DOT are met. Train seasonal employees on unloading/loading procedures and company tablets

3. Internal Transfers. Coordinate Driver Transfers between facilities to supply materials and picked sales orders for the supermarket. Ensure there are no delays in supplying master carts for the supermarket. Work closely with operation managers at all facilities and troubleshoot bottlenecks.

4. Fleet Systems and Resource Management. Administer driver tools such as Tablet, Fuel Card, IPass and other operational tools are supplied and returned each season. Manage the inventory and availability of company shipping carts, ensuring carts all shipping facilities have enough for picking. Secure rental vehicles when needed and approve invoices. Utilize proof of delivery photos in our routing software to troubleshoot delivery issues.

5. Escalation Coordination. Coordinate the escalation of sales orders after the pick is locked. Ensure all approved escalations were picked and added to the truck in the correct sequence.

6. Warehouse Flow Coordination. Assign loads to dock doors. Work closely with Operations in Northbrook to ensure smooth coordination of products in and out of the facility. Communicate driver ETAs to the warehouse floor to determine picking order in the supermarket. Ensure all necessary items are returned to their respective locations and restocked.

7. Order Accuracy Verification. Receive transfer orders, consolidate escalations, verify order completeness, designate loading area for staging, assist drivers as needed with loading and unloading. Assist Production Team with pickup customers order checking.

8. Transportation Manager Backup. In the absence of the department manager, direct the drivers and all team members to execute the delivery of sales orders or other daily tasks.

9. Standard Operating Procedures (SOP). Train staff, create, review and update as needed.


Supervisory Responsibility: Supervision of Transportation Department when the Transportation Manager is away.

This position requires flexibility in scheduling to meet business needs, including extended hours during peak season.

Must be flexible to work across various Clesen Wholesale locations
