Job Summary
We are seeking a Medical Assistant to join our team! The Medical Assistant (MA) will provide essential support to the Psychiatric Mental Health Nurse Practitioner (PMHNP) in a clinical setting. The MA will perform a range of clinical and administrative tasks to ensure smooth patient flow and effective treatment. This role combines traditional medical assisting responsibilities with patient care coordination, administrative support, and clinic workflow management and is vital in enhancing the efficiency of the practice and improving patient care. The ideal candidate has strong customer service skills, an interest in learning more about an outpatient group therapy practice environment and has previous office experience. This is a part-time position with the opportunity for growth into a full-time position.
Key Responsibilities

Clinical Support:
  •  Take and record vital signs (blood pressure, heart rate, weight, etc.) for patients.
  •  Collect patient health history, including mental health background, prior treatments, and current medications and document accordingly.
  • Prepare patients for psychiatric evaluations and assist in coordinating follow-up care.
  •  Assist with diagnostic testing and specimen collection as needed.
  •  Monitor patient portal and respond to messages as indicated or forward to NP
  • Administer basic health screenings as needed and help manage medication prescriptions or prescription samples under the PMHNP’s supervision.

Administrative Duties:
  •  Schedule patient appointments, follow-ups, and medication rechecks.
  •  Maintain accurate and up-to-date electronic medical records (EMR)
  •  Manage phone and email communications, including answering patient queries and managing medication refill requests in the EMR and/or with pharmacy directly
  • Assist in preparing patient files, intake forms, and other necessary documentation as well as initiating and completing records requests
  • Handle billing, coding, and insurance claims/prior authorizations under guidance from the office manager, if applicable. 

Patient Education & Coordination:
  •  Educate patients on medication administration and mental health management as directed and as outlined by the PMHNP.
  • Assist patients with appointment scheduling, referrals, and connecting them with community resources when needed.
  • Facilitate communication between patients and the PMHNP to ensure follow-up on treatment plans and test results.

Office Management:
  •  Ensure exam rooms are prepared and stocked with necessary medical supplies.
  •  Assist in inventory management of medications and clinical supplies.

Qualifications
  •  Medical Assistant Certification (CMA or RMA) is preferred.
  •  Experience in a mental health or psychiatric setting is a plus.
  •  Strong communication and interpersonal skills with an ability to work well with a diverse patient population.
  •  Proficiency in electronic medical record (EMR) systems and office software.
  •  Compassionate, patient-centered approach to care.
  •  Ability to handle sensitive and confidential information with professionalism and discretion.

Work Environment
  •  Fast-paced private practice outpatient psychiatric clinic.
  •  Direct interaction with mental health patients, including those with serious mental health diagnoses.
  • Some evening or weekend shifts may be required depending on the needs of the practice.
