We are currently seeking an Executive Assistant to the President/CEO. In this role, you'll provide support directly to the President/CEO by preparing communications, managing calendars, scheduling meetings, attending meetings as needed, and recording minutes. You'll track key deliverables for the President/CEO and Senior Leadership team while collaborating across the organization on their behalf monitoring the development and implementation of strategic projects and special assignments. You'll schedule and prepare notes of the Senior Leadership Team meetings, prepare metrics reports, and attend organizational update meetings. Additionally, you will accompany the President/CEO during travel as needed and coordinate travel, prepare itineraries, and travel expense reports.

What You'll Do:

  • Provide accurate, timely, and confidential administrative support to the President/CEO.
  • Act as a gatekeeper to the President/CEO, ensuring adherence to schedule is followed by actively managing appointments and work calendar.
  • Coordinate and create a mutually beneficial plan for direct access to the CEO's time and office.
  • Work closely and effectively with the President/CEO to continuously inform them of upcoming commitments and responsibilities.
  • Support special projects, prepare research and advance information for meetings and external engagements of the matters related to the credit union or community.
  • Act as a barometer, intaking information on potential issues or conflicts, keeping the President/CEO updated appropriately.
  • Compose and prepare correspondence that is confidential, as needed.
  • Responsible for booking President/CEO travel, preparing travel itineraries and expense reports.
  • Accompany the President/CEO to events, external engagements, and travel commitments, as needed.

What You'll Need: 

  • Three to five years of similar or related experience
  • Bachelor’s degree in Business Administration or related field

Key Skills and Experience: 

  • Experience in coordinating schedules, attending executive level meetings, preparing notes, metrics reports, and tracking action items or deliverables for completion
  • Experience in multi-tasking, meeting strict deadlines, dealing with sensitive information, and problem resolution while providing exceptional service
  • Ability to perform and train a broad range of administrative responsibilities tailored to multiple audiences
  • Ability to work independently and cross-functionally
  • Strong organizational and time management skills
