Job description

Ivy Tech Evansville seeks an Administrative Assistant to support the Office of Student Life. The Student Life Assistant will be responsible for all clerical and administrative support related to maintaining student life in the region. This includes providing routine clerical support to the Director of Student Life, assisting with the planning and coordination of student life events, organizing travel, maintaining student life web pages, updating information in the student life management software system, and processing purchases and payments for the entire student life department, including student organizations.
Essential Responsibilities:
  • Serve as the first point of contact for internal and external customers who seek assistance from Student Life while maintaining good public relations and a professional image for the services that are provided through the office.
  • Answers telephone and greets visitors transmitting requested information, records messages, and routes information to appropriate personnel.
  • Receives incoming mail and prepares outgoing mail.
  • Maintains calendars, schedules appointments, and supports designated on-campus and virtual meetings and workshops including follow-up as needed.
  • Assists with the planning of student life events, meetings, and conferences including facility reservations and set-up, catering arrangements, audio-visual requests, securing overnight rooms, reservation lists, and nametag creation.
  • Coordinates travel arrangements and reservations as needed.
  • Orders office and event supplies.
  • Processes financial documents (check requests, purchase requisitions, travel, etc.) and ensures timely completion.
  • Proofs student life printed and electronic documents.
  • Provides updates and approvals in the student life management software system.
  • Maintains web pages with current information.

Hiring Range:
  • This role is budgeted between $16.00 and $17.00 per hour depending on experience.

Work Hours:
  • Typical business work hours will be Monday-Thursday 8:00am-2:30pm with one additional hour of flex time per week. This may be adjusted during peak times.

Minimum Qualifications:
  • Excellent computer skills and knowledge of spreadsheets and word processing required.
  • Must be able to maintain proficiency and competency in administrative support procedures with the ability to determine priorities.

Preferred Qualifications:
  • Associate's degree
  • Experience in a higher education setting
