Job description

Job Title: Proposal Coordinator – Birmingham, AL

Reports to: Proposal Manager

FLSA Status: Exempt

Job Type: Full Time

Bhate is seeking to fill a position for a Proposal Coordinator. The Proposal Coordinator will report directly to the Proposal Manager. Duties will include supporting Bhate’s proposal team in the preparation and production of proposals for Federal, Municipal and Commercial clients.

Job Duties & Responsibilities:

  • Coordinate and track proposal schedules, calendars, and deliverables to ensure timely submission.
  • Assist in preparing compliance matrices and compelling proposal content, including resumes, project descriptions, and narrative sections.
  • Support technical teams in gathering, organizing, and formatting content in alignment with RFP requirements.
  • Assist with editing and proofreading proposals for clarity, consistency, and compliance.
  • Maintain proposal libraries, templates, and boilerplate content for efficiency.
  • Support proposal review meetings and ensure comments are incorporated promptly.
  • Coordinate with Subject Matter Experts and Project Leads (estimating, technical, safety, and HR teams) to gather required content and documentation.
  • Assist with the development of graphics, organization charts, and tables using Word, PowerPoint, and/or Adobe tools.
  • Assist with the production/final assembly of proposals.

Job Requirements:

  • Flexibility in working hours is a must (occasionally, late nights, weekends and travel are required).
  • Strong writing, editing, and organizational skills with attention to detail.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, SharePoint) and Adobe Acrobat.
  • Ability to work independently and as part of a collaborative team.
  • Familiarity with DoD and Federal RFP requirements and terminology.
  • Proposal, technical writing, or similar experience required; proposal experience in Government contracts is desired.
  • Candidate must be dead-line oriented and detail oriented.
  • Experience creating and editing graphics is strongly desired.
  • Experience with Microsoft Teams is desired.

Education & Experience:

  • Bachelor’s degree in English, Communications, Business, Journalism, or Marketing, or similar field preferred.
  • 1–3 years of experience in proposal coordination or proposal writing, preferably for DoD or Federal contracts or related field.
