Position Summary
Dunn Construction Company, Inc. is seeking a highly organized, discreet, and proactive Executive Assistant to serve as the operational right hand to the President - managing a demanding calendar, coordinating communications, and keeping the office running smoothly. The ideal candidate anticipates needs before they arise, exercises sound judgment under pressure and thrives in a fast-paced environment.
Essential Duties and Responsibilities
  • Own and manage the President's calendar, resolving conflicts across meetings, client engagements, and events, and preparing daily agendas and briefing materials.
  • Coordinate meetings with staff, clients, vendors, and executives, accounting for travel and preparation time.
  • Serve as the primary point of contact; screen and prioritize calls, emails, and requests, responding on the President's behalf where appropriate.
  • Draft, proofread, and format correspondence, memos, proposals, and presentations.
  • Arrange business and personal travel, build detailed itineraries, and process expense reports.
  • Prepare meeting agendas, take minutes, track action items, and follow up to ensure commitments are met.
  • Integrate the President's personal appointments and reservations with their professional calendar so both stay aligned.
  • Manage sensitive business and personal information with absolute discretion.
  • Keep the office running smoothly and handle ad hoc tasks as needed.

Qualifications
  • 5+ years of experience as an executive assistant, administrative assistant, or in a comparable support role.

  • Strong written and verbal communication skills and a professional, polished demeanor.
  • High level of discretion and sound judgment in handling confidential matters.
  • Proficiency with Microsoft Office and familiarity with calendar, expense, and travel management platforms.
