Primary Purpose:
Facilitate the efficient operation of the school office and provide clerical services to the principal.
Qualifications:
Education/Certification
  • High school diploma or GED
Special Knowledge/Skills:
  • Proficient keyboarding and file maintenance skills
    • Ability to use software to develop spreadsheets, databases, and do word processing
    • Ability to maintain accurate and auditable records
    • Knowledge of basic accounting principles
    • Ability to follow verbal and written instructions
    • Ability to perform a variety of tasks often changing assignment on short notice
    • Effective organizational, communication, and interpersonal skills
Preferred Experience:
  • Three years of successful secretarial or clerical experience preferably in a related field
    • Experience on TEAMS Software a plus

Major Responsivities and Duties:
Records and Reports
  1. Organize and manage the routine work activities in the school office
  2. Order/maintain/issue supplies and equipment
  3. Prepare correspondence, forms, reports, etc. for the principal
  4. Make appointments and maintain office/principal's/school calendar
  5. Compile, prepare, and submit various reports for the office
  6. Input computer data for the school
  7. Perform routine bookkeeping tasks, including simple arithmetic operations of the office
  8. Maintain and monitor budget process by creating ledger for all school accounts
  9. Follow procedures from budget office regarding PO's, Activity Funds, Federal Grants and Petty Cash Disbursements
  10. Responsible for the input of TEAMS/PEIMS data as directed
  11. Input and maintain Employee absence data
  12. Maintain office files
Reception, Phones and Correspondence
  1. Compose letters and memos as directed
  2. Receive incoming calls, take reliable messages, and route all to appropriate staff
  3. Receive sort, and distribute mail and other documents to staff members
  4. Communicate direction to the clerical aides and clinic aide as directed by the principal
  5. Maintain confidentiality of information
Other
  1. Participate in in-service training programs
  2. Keep informed and comply with all state and district policies and regulations concerning primary job functions
  3. Assist with preparation and set up for meetings, trainings and assemblies
  4. Assist student/teachers/parents and visitors as needed
  5. Display a high quality of customer service
