The Translational Sciences and Therapeutics Division is hiring an Administrative Manager I to manage administrative operations in support of programs and projects within the division.  This position will report to the Associate Operations Director and work with Program Operations Directors within the division to successfully support faculty, labs, and administrative teams. The Administrative Manager will be responsible for developing and implementing procedures related to administrative operations. Any/all administrative operational problems which occur are handled by the Administrative Manager, in consultation with the Associate Operations Director and Program Operations Directors as appropriate. Special skills and knowledge are applied in managing administrative operational activities and in developing materials. Independent judgment is used in interpreting policies, protocols, and grant/contract requirements.

This role requires working a minimum of three days per week on-site at our campus, with an opportunity for partial remote work.

  • Function as the primary administrative contact for a group of faculty/principal investigators (PIs) and their laboratories.
  • Partner and collaborate with administrative team members to support the administrative needs of the division.
  • Develop and administer policies and procedures related to project/program operation and administration. Identify administrative issues for discussion with division leadership.
  • Serve as a project/program liaison, representing projects/programs to other Center departments, funding sources, affiliated individuals or institutions, and outside organizations.
  • Complete key administrative tasks, such as travel coordination, reimbursements, ProCard reconciliations, purchasing, and maintenance of supplies and equipment.
  • Coordinate meetings, seminars, ad-hoc special lectures and conferences; to include planning schedules, securing space, ordering catering, attending events and monitoring activities.
  • Draft agendas and ensure all documents and background information for meetings are received, collated, and circulated in a timely manner. Ensure that all materials needed for any external meetings are provided well in advance.
  • Organize and attend meetings, take minutes, and distribute for review as directed, and track progress on action items.
  • Support on-boarding and off-boarding activities for employees who are joining or departing labs/teams. Ensure new employees receive all the information and access they need to successfully integrate into the lab/team.
  • Maintain CVs, biosketches, and other PI documentation as required.
  • Coordinate the submission of study results, articles and manuscripts for publication.
  • Coordinate the production and distribution of special and recurring reports and correspondence.
  • Assist with grant/contract application process, including creation and communication of timelines to appropriate stakeholders and completion of non-scientific components of submission.
  • Assist in maintaining lab websites on a regular basis.
  • Perform other responsibilities as required.

MINIMUM QUALIFICATIONS:

  • Requires Bachelorโ€™s Degree and three years of administrative management or relevant experience OR equivalent education/experience.

PREFERRED QUALIFICATIONS:

  • Excellent written and verbal communication skills.
  • Proven administration and organizational skills; attention to detail and accuracy.
  • Five years or more of progressively complex administrative management experience, preferably in a research, medical, academic, and/or clinical care environment.
  • Strong computer and on-line systems skills, including experience with MS Teams and organizing hybrid meetings.
  • Advanced skills in management of calendars, meetings, visitors, and travel.
  • Demonstrated experience with project management, tracking tools and process improvement strategies.
  • Ability to work independently as well as collaboratively, contributing to the execution of multiple projects without independent ownership.
  • Ability to use initiative and sound judgment to prioritize tasks in a dynamic work environment.
  • A focus on excellent customer service, strong interpersonal skills are required.
  • Strong supervisory skills, budgeting experience.
  • Knowledge of grant and contract funding process.

The annual base salary range for this position is from $80,172 to $114,941, and pay offered will be based on experience and qualifications.
