Office Operations Assistant

Summary
This is a hands-on operational role responsible for supporting day-to-day office and facility operations. This position requires flexibility, strong ownership, and the ability to respond quickly to operational needs to maintain a safe, clean, and fully functional workplace.
Key Responsibilities
Facilities Operations & Maintenance
  • Monitor facility conditions and coordinate repairs involving electrical, plumbing, HVAC, and basic structural issues. Perform routine checks, identify risks early, and ensure issues are fully resolved.
General Services Execution
  • Provide day-to-day support for cleaning, security coordination, waste management, office supplies, visitor support, and site logistics. Support employee business travel and hospitality needs as required.
Vendor & Contractor Coordination
  • Serve as the primary on-site contact for vendors and contractors. Coordinate access, supervise work execution, verify quality, and ensure completion within agreed timelines.
Asset & Inventory Management
  • Maintain accurate records of furniture, equipment, and facility assets. Coordinate repairs, replacements, relocations, and disposals as needed.
Health, Safety & Compliance Support
  • Support workplace health, safety, and environmental requirements. Participate in inspections, identify hazards, and follow through on corrective actions.
Space & Move Management
  • Support office layout adjustments, seating assignments, and internal relocations. Execute moves efficiently to minimize business disruption.
Operational Flexibility & On-Demand Support
  • Provide support across a broad range of facility and general service tasks based on business needs. Overtime, after-hours, early morning, and occasional weekend work may be required to support emergencies, special projects, or business events.
Reporting & Documentation
  • Maintain clear records and prepare routine reports on facility conditions, maintenance activities, vendor performance, and asset status.
Basic Qualifications
  • Experience in facilities operations, general services, or building management
  • Working knowledge of electrical, plumbing, HVAC systems, and workplace safety practices
  • Valid driver's license required; local travel, errands, and site visits are part of the role
  • Willingness to work flexible hours, including overtime, as operational needs require
  • Ability to work independently with minimal supervision
  • Strong follow-through, reliability, and accountability mindset
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with facilities or asset management systems is a plus
