Inside Sales Representative / Administrative Assistant

Department: Sales & Administration
Reports To: Sales Manager or Branch Manager
Position Summary

We are seeking a motivated, customer-focused Inside Sales Representative / Administrative Assistant to join our building materials and masonry supply team. This position combines customer service, inside sales, and administrative support to help drive sales while ensuring efficient day-to-day office operations.
The ideal candidate enjoys building relationships with contractors, builders, architects, landscapers, and homeowners while providing product knowledge, preparing quotations, processing orders, and supporting the sales team. This role requires excellent communication skills, attention to detail, and the ability to thrive in a fast-paced construction supply environment.
Essential Responsibilities

Inside Sales

  • Greet customers by phone, email, and in person, providing professional and friendly customer service. 
  • Assist contractors, builders, architects, designers, and homeowners with selecting brick, block, stone, pavers, hardscape products, masonry accessories, and other building materials. 
  • Prepare accurate quotations, bids, and sales orders as directed by the sales team and management. 
  • Process customer orders from initial inquiry through delivery and invoicing. 
  • Coordinate product availability with purchasing, inventory, and yard personnel. 
  • Recommend complementary products and identify opportunities to increase sales. 
  • Develop and maintain strong customer relationships through timely follow-up and exceptional service. 
  • Resolve customer concerns regarding orders, deliveries, and product availability. 
  • Maintain current knowledge of products, manufacturers, pricing, and industry trends. 
Administrative Support

  • Answer and direct incoming phone calls. 
  • Greet customers and vendors entering the showroom or office. 
  • Process customer payments and maintain accurate transaction records. 
  • Assist with accounts receivable collections and customer account inquiries. 
  • Prepare delivery paperwork, invoices, purchase orders, and shipping documents. 
  • Maintain customer files, sales records, and product documentation. 
  • Coordinate incoming and outgoing mail and office correspondence. 
  • Assist with scheduling meetings, appointments, and sales activities. 
  • Maintain office supplies and support daily administrative functions. 
Sales & Operations Support

  • Coordinate with dispatch and yard personnel to ensure accurate and timely deliveries. 
  • Verify customer orders for accuracy before shipment. 
  • Assist with inventory updates and product pricing. 
  • Support outside sales representatives with customer follow-up, project documentation, and quote preparation. 
  • Help maintain showroom displays, product literature, and sample inventories. 
  • Perform additional administrative and sales support duties as assigned. 
Qualifications

  • 2–5 years of experience in inside sales, customer service, administrative support, or office management. 
  • Experience in the building materials, masonry, construction, hardscape, or wholesale distribution industry is preferred. 
  • Excellent customer service and relationship-building skills. 
  • Strong organizational skills and attention to detail. 
  • Ability to manage multiple priorities in a fast-paced environment. 
  • Proficiency in Microsoft Office (Outlook, Excel, Word). 
  • Experience with ERP, CRM, or accounting software (Acumatica, Epicor, Sage, QuickBooks, or similar) preferred. 
  • Excellent verbal and written communication skills. 
  • Basic math skills for pricing, estimating, and order entry. 
Preferred Qualifications

  • Knowledge of brick, concrete block, natural stone, pavers, retaining walls, masonry products, and construction materials. 
  • Experience reading construction plans or architectural drawings is a plus. 
  • Familiarity with estimating, takeoffs, or construction project coordination is beneficial. 
  • Experience working with contractors, builders, or construction professionals.
