The Law Departments Workers Compensation Section of Labor, Employment, Benefits and Workers Compensation is seeking a candidate for the Clerical Assistant position. The selected candidate will be responsible for providing administrative support to meet the requirements of the workers compensation claims process.

All job functions for this position to be performed with discretion while maintaining a strict adherence to privacy and confidentiality rules and regulations related to PII and PHI.

Required Education/Experience
  • High School Diploma/GED and 2 years of clerical experience
Relevant Work Experience
  • Ability to learn multiple computer programs and databases. Required
  • Strong computer keyboard skills and proficiency in Microsoft applications (Word, Excel, PowerPoint, Outlook, OneDrive, Teams). Required
  • Strong verbal and written communication skills. Required
  • Strong clerical and organizational skills. Required
  • Ability to handle multiple assignments and prioritize workload. Required
  • Ability to work as part of a team in a high-volume environment. Required
  • Ability to communicate effectively by phone, email and Microsoft Teams. Required
  • Ability to complete assigned tasks with discretion while adhering to all rules and regulations related to PII and PHI. Required

Physical Demands
  • Ability to push, pull, and lift up to 25 pounds
  • Sit or stand to answer a phone for the duration of the workday
  • Sit or stand to use a keyboard, mouse, and computer for the duration of the workday
  • Possess manual dexterity and the ability to use hands for the duration of the workday
  • Ability to stoop, bend, reach, and kneel throughout the workday
Additional Physical Demands
  • The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
  • Must be able to respond to Company emergencies by performing a System Emergency Assignment to restore service to our customers.
Core Responsibilities
  • Completing NYS Workers Compensation Board forms
  • Reporting employee work-related lost time to appropriate Company departments
  • Reviewing emails for new Maximo reports and work-related sick pay notifications daily
  • Obtaining information for new Maximo reports received from EH&S
  • Forwarding new Maximo reports and C-2F forms to the Companys third-party administrator within the required time frame set by the NYS Workers Compensation Board
  • Sending and retrieving documents from Iron Mountain
  • Responding to and tracking requests from the Companys third-party administrator
  • Requesting documentation from different Company departments
  • Distributing incoming mail
  • Sending incoming checks to the Companys third-party administrator
  • Assisting the WC attorney and manager with claim reviews, audits, documents, and other Law Department projects
  • Retrieving and analyzing information as part of the workers compensation process from various computer-based programs including but not limited to the Employee Hub, OAC, Maximo, Cority, Care Management, NYS Workers Compensation Board file (ecase), ViaOne, and the MetLife claim database
  • Use of the Law Departments document database and Microsoft OneDrive for record keeping purposes
  • Communicating with employees, the Companys third-party administrator and other interested parties by phone, email, and Microsoft Teams
