Buying
  • To select and purchase suitable and appropriate merchandise from reputable suppliers with accepted business practices for the Auxiliary of Mercy Hospital.
  • To schedule 1-3 buying trips per year and vendor appointments as needed.
  • Completes expense account reports for all buying trips and submits to Auxiliary President and/or Auxiliary Board of Directors for approval.

Merchandising
  • Responsible for pricing, stocking, and displaying of all merchandise in the gift shop.
  • Determines appropriate marketing plan for items.
  • Plans and implements promotional sales and events.
  • To check incoming merchandise against the purchase order and invoice at the time of receipt.
  • To oversee production of floral arrangements for resale and creates special floral arrangements.

Supervision of Volunteers
  • Establishes work schedule for the Volunteers to provide coverage for hours of operation and responds to requests to change schedule as needed.
  • Provide and oversee training for all Volunteers (i.e.: procedures, customer service, equipment usage, etc.)
  • To encourage courtesy and respect among the Volunteers.
  • Keep gift shop volunteers informed about new merchandise, sales, promotions, etc.

Record Keeping
  • Responsible for all collection, remittance, and keeps the general ledger pertaining to the gift shop.
  • Provide monies for cash register, reviews daily register tapes for all shifts, and makes the weekly deposits
  • Responsible for paying bills incurred by the operation of the gift shop.
  • Maintains payroll deduction process for employees of Mercy Hospital.
  • Takes an annual inventory of gift shop and stock rooms and submits a report to the President of the Auxiliary.
  • Prepares monthly state sales tax report and file. Reconciles the checkbook monthly and files bank statements.
  • Keeps charge card accounts in balance.
  • Have all checks signed by the gift shop manager and Auxiliary Board Officer.
  • Attends all Auxiliary Board meetings and provides monthly financial report to the Auxiliary Board of Directors.
  • Prepares and makes available the gift shop financial books for CPA annual audit.
  • Present a check, at the request of the President, to the Treasurer of the Auxiliary representing annual profit less an amount required as working capital for the New Year.

Work Schedule/Direct Supervisor
  • The gift shop manager is an employee of the Auxiliary and is accountable to the Auxiliary President and the Director of Volunteers.
  • The gift shop manager is required to work 40hrs/week. These hours are to be worked at the discretion of the gift shop manager as long as the hours are completed within the week.

EDUCATION, SPECIALIZED AND/OR TECHNICAL KNOWLEDGE REQUIREMENTS:
High School graduate or equivalent. Excellent communication and interpersonal skills. Ability to make decisive and timely decisions independently. Ability to adapt and maintain organization within a changing environment. Excellent analytical and numerical skills. Accounting, bookkeeping, and inventory control experience required. Knowledge of appropriate chain of command. Prior experience/working knowledge of retailing functions required. Prior experience or training in the use of cash register, check machines, and credit card machines required. PC software and hardware experience required. People management skills to motivate persons with varied backgrounds, ages, and educational levels necessary.
  • Mental Requirements

Requires ability to handle a number of tasks simultaneously with many interruptions. Requires ability to handle stress in an appropriate and effective manner to solve problems. Verbal and numerical aptitude required.
  • Working Conditions

Gift shop, merchandise storage area and normal office environment. Day shift, Monday through Friday. Handles highly confidential information. Productivity/profit demands.
