Job description

The Medical Assistant Supervisor works with Chief Operating Officer and Imaging Manager to effectively organize and direct medical assistant staff. In addition, this position works as a Medical Assistant and is responsible for assisting the Radiologists, Physicians Assistants, and Imaging Technologists with daily activities of the healthcare facility. The Medical Assistant Supervisor performs their assigned duties under the general supervision of a physician. They are responsible for administrative as well as clinical tasks, such as maintaining patient records, preparing patients and rooms for examination, assisting physicians, physician extenders and technologists with exams, and performing front-desk tasks. Additional duties include maintaining adequate supplies in exam rooms, answering telephone inquiries, data entry and laundry.
As team Supervisor you will:
  • Receive sick calls from medical assistants and arranges coverage
  • Prepare schedule for medical assistants
  • Delegate duties as needed within department
  • Process timecards for medical assistants
  • Monitor daily workflow and staff to ensure efficient patient flow
  • Resource for other medical assistants with questions or concerns within department
  • Assist manager in preparing employee counsel's and annual employee evaluations
  • Supervise and coordinate supply responsibilities that have been assigned to Medical Assistants at each location.
  • Special projects and other duties as assigned

Essential Duties - Other duties may be assigned
This position requires regular reliable attendance. This position requires a high level of attention to detail and accuracy, as the consequences of even a minor mistake can be significant for patients and providers
Supervisor Duties:
  • Works with the Chief Operations Officer and Imaging Manager to effectively communicate up to date changes relating to policies and procedures impacting the medical assistant team.
  • Monitors workflow and staffing shortages to ensure gaps are filled to maintain quality patient care.
  • Ensures that all department staff are getting breaks and lunches by providing and coordinating coverage.
  • Oversees quality control of patient care, department operations and helps to resolve any problems, seeking guidance from the Imaging Manager.
  • Attends meetings as required.
  • Must be flexible with work schedule as hours and/or location may vary.
  • Ability to work cohesively with others.
  • Performs other duties as necessary and assigned to keep the department running smoothly.

Medical Assistant Duties:
  • Performs their assigned duties under the general supervision of a physician.
  • Properly identifies patients using at least two data points (name, date of birth, etc.).
  • Verifies patient information by interviewing patient, recording medical history, and confirming purpose of visit.
  • Prepare patients for the health care visit by directing and/or assisting them to the changing and procedure rooms.
  • Maintains adequate medical supplies and instruments in exam rooms.
  • Prepares and cleans examination rooms, changing rooms, and any other assigned work areas between patients using universal cleaning protocols.
  • Wash, fold, and stock laundry per laundry protocols.
  • Prepares trays for procedures per protocol.
  • Sterilizes medical instruments per protocol.
  • Accurately complete records such as prep notes in RIS when patient picks up prep prior to a scan, creatinine lab results, assigning a reading physician in PACS and scanning documents into PACS. Other notes may be entered as requested for information between departments (e.g., XR requests pending patient for 20 minutes).
  • Records patients' vital signs including height, weight, pulse, blood pressure, blood oxygen saturation, and respirations for high-risk breast clinic and high-risk OB clinic.
  • Process and document patient symptoms for physicians' review prior to consult exams.
  • Maintains a safe, secure, and healthy work environment by establishing and following standards and procedures and complying with legal regulations.
  • Successfully completes all annual competencies.
  • CPR certified - Basic Life Support.

Education and Experience
  • Six months to one-year related experience and/or training; or equivalent combination of education and experience.
    • Previous experience in a health care setting or in a supervisory role is preferred but on-the-job training may be provided.
  • Knowledge of medical terminology preferred.
  • CPR/BLS certification required.
