Company Overview:  Integrated 3D LLC (i3D MFG) is the premier a 3D metal manufacturing company in the Pacific Northwest. The Powder Bed Fusion/Additive Manufacturing & Engineering facility is located in Redmond, OR. We are seeking a select group of experienced, highly motivated, forward-thinking individuals to join our expert team.

Summary of Role: The HR & Office Coordinator provides essential administrative and operational support to the Human Resources department at the corporate level, while also serving as the primary point of contact for day-to-day office administration. This role supports recruiting and new hire onboarding, general HR compliance activities and the smooth daily operation of the Redmond facility. Reporting to the HR Manager, the Coordinator plays a key role in ensuring a consistent, efficient, and positive employee experience from day one, as well as a well-run and welcoming office environment.

Requirements

Key Responsibilities

General Office Administration

Serve as the primary point of contact for day-to-day office operations at the corporate facility.

Retrieve, sort, and distribute incoming mail and packages daily; process outgoing mail and shipments as needed.

Monitor and replenish office supplies (paper, printer supplies, breakroom consumables, etc.), placing orders to maintain adequate stock levels.

Maintain organization and cleanliness of common office areas including conference rooms, breakroom, supply closets, and reception areas.

Coordinate with vendors and service providers for routine office needs (Cantaloup Mini Market, etc.).

Assist with setup and breakdown of meeting rooms and company events as needed.

Report facility maintenance issues or safety concerns to the appropriate contact and follow up to ensure timely resolution.

Serve as the primary front-desk presence, greeting visitors, managing sign-in/security procedures, and providing facility tours as needed.

Order and manage company SWAG/branded merchandise for i3D and acquired entities, maintaining inventory and vendor relationships.

General HR Support

Generate standard HR reports including headcount, turnover, and leave utilization for the HR Manager.

Provide administrative support for HR projects, policy updates, and annual HR calendar activities.

Assist site HR Manager with cross-location coordination as needed.

Onboarding & New Hire Administration

Manage the end-to-end onboarding process including offer letters, background checks, I-9 verification, and system access setup.

Coordinate orientation scheduling and ensure consistent onboarding experience.

Maintain onboarding checklists, track completion of required training, and conduct day administrative follow-ups.

Enter and maintain employee records in the HRIS system with a high degree of accuracy.

Administration Benefits

Support open enrollment processes including employee communications, system updates, and carrier coordination.

Serve as a first point of contact for employee benefit questions and escalate complex issues to the HR Manager or brokers.

Recruiting Support

Assist with sourcing, screening, and scheduling candidates to support active recruiting efforts.

Post and maintain job listings across approved job boards and the company careers page.

Coordinate interview logistics and maintain timely communication with candidates throughout the hiring process.

Support offer letter preparation and pre-employment screening coordination.

Employee Engagement

Support the administration of annual and pulse employee engagement surveys, including distribution, participation tracking, and summarizing results for HR leadership.

Assist with planning and coordinating monthly employee engagement activities, appreciation events, service anniversary recognition, and company-wide HR communications.

Help sustain a positive workplace culture by supporting programs that reflect company values and promote employee connection.

Work with outside vendors to prompt annual designation as "Best Places to Work" in the State of Oregon.

HR Compliance & Recordkeeping

Maintain accurate and up-to-date employee files in compliance with retention requirements.

Track mandatory training completions, policy acknowledgments, and license/certification renewals.

Safety Administration Support (Backup)

Serve as a designated backup resource for workplace safety administration, including maintaining safety training records, tracking certifications, and supporting OSHA recordkeeping as needed.

Assist the primary safety lead with coordination of safety communications, incident documentation, or compliance activities during absences or high-volume periods.

Note: This is a supporting/backup function. Primary safety ownership remains with the designated Safety lead.


Qualifications

Required

2+ years of experience in an HR administrative, coordinator, or office administration role.

Proficiency with HRIS systems and Microsoft Office Suite (Excel, Word, Outlook).

Strong attention to detail and ability to handle confidential information with discretion.

Excellent organizational skills and ability to manage multiple priorities in a deadline-driven environment.

Comfortable serving as a point of contact for office operations, vendors, and facility needs.

Preferred

Associate's or Bachelor's degree in Human Resources, Business Administration, or related field.

Working knowledge of federal and state employment laws (FMLA, ADA, I-9 requirements).

PHR or SHRM-CP - or active pursuit of certification.

Experience supporting HR operations across multiple locations or sites.

Familiarity with benefits administration and open enrollment processes.


Work Environment & Physical Requirements

This is a full-time, on-site position based at the corporate office. Standard business hours apply with occasional flexibility required around payroll deadlines or open enrollment periods. The role requires extended periods of computer and telephone work.
