Position Overview
We are looking for a dynamic, detail-oriented, and proactive Executive Assistant to provide administrative support tothe Senior Director in the Entertainment & Media team, focusing on Flow Studio.This role goes beyond traditional admin support -you'llbe a key partner in helping our leaders and teamoperateefficiently and stay focused on what matters most.You will perform a wide range of tasks, handle detailsofa confident and critical nature, while using your experience to proactively address potential problems and ensure an efficiently functioning team.
Responsibilities
Executive Support
Manage calendar, schedule meetings, and coordinate travel arrangements
Tracks executive expenses and generates expense reports. Submits expense reportsin a timely manner. Understand budget timelines and deadlines
Collaborate with theLeadership teamas needed to prepare agendas and meeting materials, document meeting minutes, track action items, and follow up on deliverables
Plan and coordinate virtual and in-person events and meetings on and offsite, including preparation of meeting materials,logistics, venue, activities, and catering
Maintain email aliases, distribution lists, and shared directories, includingmaintainingpermissions
Collaborate flawlessly with other executive team admins to execute on scheduling meetings and coordinate organization-wide events
May serve as point person for departmental purchases, including but not limited to PC tracking and overall asset management
Collaborate with outsourcing teams on staffing orders, contracts, and ensure local compliance
Raise purchase orders, verify invoices, and process payments for CW costs and expenses
Utilize Supplier Central portal to raise purchase orders, onboard vendors, and track approvals, orders, and invoicesfrom start to finish
May serve as point person for departmental purchases, including but not limited to PC tracking, vendor management, and overall asset management
Minimum Qualifications
Bachelor's degree
3-5years' experience supporting senior executives in a fast-paced, multinational environment
Exceptional time management, organizational, and multitasking skills.Understanding that this job is not typical 9-5
Willing to adapt to a rapidly changing environment and new processes and responsibilities
Proven ability to work under pressure, communicate effectively, and meet deadlines
Proficient in Microsoft Office Suite, Mac and Windows operating systems and related business applications such as Slack, Microsoft Teams, Microsoft SharePoint
Not afraid of AI tools and can proficiently use them. Tech savvy
Strong interpersonal and written/verbal communication skills in English
Able and willing to travel to events or internal meetings, locally and internationally asrequired
Due to our globally distributed team, you may occasionally work outside of normal business hours
Discreet and experienced in handling sensitive and confidential information.

Soutien de direction
Gerer l'agenda, planifier les reunions et coordonner les deplacements
Suivre les depenses de la direction et etablir les notes de frais. Soumettre les notes de frais dans les delais impartis. Comprendre les echeances budgetaires et les delais
Collaborer avec l'equipe de direction selon les besoins pour preparer les ordres du jour et les documents de reunion, rediger les comptes rendus, suivre les actions a mener et assurer le suivi des livrables
Planifier et coordonner les evenements et reunions virtuels et en presentiel, sur site et hors site, y compris la preparation des documents de reunion, la logistique, le lieu, les activites et la restauration
Gerer les alias de messagerie, les listes de diffusion et les repertoires partages, y compris la gestion des autorisations
Collaborer de maniere optimale avec les autres administrateurs de l'equipe de direction pour organiser les reunions et coordonner les evenements a l'echelle de l'organisation
Peut servir de personne de contact pour les achats du departement, y compris, mais sans s'y limiter, le suivi des PC et la gestion globale des actifs
Collaborer avec les equipes d'externalisation sur les commandes de personnel et les contrats, et veiller au respect des reglementations locales
Emettre des bons de commande, verifier les factures et traiter les paiements pour les couts et depenses lies a CW

Qualifications minimales
Licence
3 a 5 ans d'experience dans l'assistance aux cadres superieurs dans un environnement multinational au rythme soutenu
Excellentes competences en gestion du temps, en organisation et en multitache. Comprendre que ce poste ne suit pas un horaire classique de 9 h a 17 h
Etre pret a s'adapter a un environnement en constante evolution ainsi qu'a de nouveaux processus et responsabilites
Capacite averee a travailler sous pression, a communiquer efficacement et a respecter les delais

Offers are based on the candidate's experience and geographic location, and may exceed this range.
