Job description

Position Summary:

Seeking a Staff Accountant with current construction industry related work experience. Reporting to the Controller. The Staff Accountant has primary responsibility for daily operating and general ledger accounting activities including the following: Accounts Payable, Accounts Receivable, project job costing, payroll and employee benefits administration, certified payroll and other compliance reporting, general ledger account reconciliations and assistance with general ledger month end close processes.

Essential Duties and Responsibilities:

  • AP/AR
    • Accounts Payable-Accurate Entry and Payment in a timely manner
    • Accounts Receivable- Prepare bank deposits and review AR Aging to ensure payments are being received in a timely manner.
    • Manage company credit card program and expense recording. Ensure timely monthly statement reconciliation.
    • Provide customer support, both internal and external as needed
    • Assist with maintaining user/purchaser access on company corporate accounts.
  • Compliance Administration
    • Process and maintain all DAS reporting requirements
    • Process and maintain all STWF reporting requirements
    • Send requests to eMars for new project set-up
    • Lien Release tracking. Utilize Procore for entering and tracking
    • Process and maintain weekly Certified Payroll Reporting (CPR) requirements
    • Gather requested data for CPR Audits.
    • Assist with new project setup as needed
  • Payroll/Employee Benefits
    • Ensure that payroll functions are handled in a timely and efficient manner, including timesheet reporting and weekly payroll processing
    • Ensure that payroll taxes and employee benefit programs are handled in a timely and efficient manner, including union benefits and 401(k).
    • Workers Comp monthly reporting and yearly audit assistance.
    • Ensure that all filings are completed timely, including quarterly payroll tax forms, monthly union benefit reporting and certified payroll reporting.
    • Assist with employee management as needed, including new hire onboarding and safety training certification management.
    • Facilitate annual medical plan open enrollment along with FSA POP plan.
  • Project Job Costing and Project Management
    • Ensure that project job costs are handled timely including subcontractors and suppliers.

o   Managing all incoming project invoices for electronic and hardcopy recordkeeping

    • Manage subcontractor invoice processing in Procore.
    • Monthly owner invoicing enter in QuickBooks, provide lien releases.
    • Manage certified payroll audits and provide documentation as required.
    • Project closeout duties including retention, final required documents, and complete certified payroll records.
    • Ensure weekly synchronization with QB from Procore
    • Monthly change event review report.
  • Bidding and RFPQ Submissions
    • RFPQ submissions support
    • Update project portfolio’s, company resumes, and backlog reports.
    • Assist with Lease/Leaseback prequalification and interview process.
  • General Ledger
    • Monthly bank reconciliation and banking correspondence.
    • Assist with accurate and timely preparation of monthly journal entries
    • Assist with accurate and timely preparation of monthly project job cost reports.
    • Assist with timely preparation of monthly/quarterly balance sheet account reconciliations.
    • Year-end accounting and reconciliation. Prepare 1099 and W-2 forms.
    • Assist with annual insurance renewal process/audit process for Company GL/Umbrella/Auto/WC etc. policies.        
  • Safety and Training
    • Knowledge of all safety guidelines and procedures as outlined in the FRC safety handbook.
    • Assist compliance manager with maintaining and updating the FRC safety handbook and related forms.
    • Assist compliance manager with safety training for FRC employees.
    • Attend yearly training as required by FRC, Inc.
    • Attend seminars including public works, certified payroll, skilled and trained workforce, and other educational topics related to job duties.
