Summary
The Executive Administrative Assistant will overseas daily duties within the office and the team. We are looking for a master multi-tasker with good communication skills, attention to detail, and an upbeat attitude.
Candidate will manage projects assigned by the Vice President along with aiding the Senior Management team on consolidating reporting. Projects may include updating and editing of both Excel and Powerpoint documentation to support divisional needs will fall under this role.
Candidate will take the lead on management of the office and needed improvements to enhance the productivity of the team and present a professional environment to employees and visitors.
Duties and Responsibilities
  • Handling office tasks, such as generating reports and presentations, setting up for meetings, and reordering supplies
  • Transcribe minutes from meetings/ conference calls into actions and follow up for completion or escalations accordingly
  • Maintain SOPs and working instructions to ensure they are always up to date and distribute accordingly between the team both onshore and offshore.
  • Check invoice portal and maintain follow ups on outstanding invoices with operators
  • Make travel arrangements, such as booking flights, cars, and making hotel/ restaurant reservations
  • Follow up on meeting tasks and completion
  • Creation, update and editing of documentation
  • Vendor Management documentation, reporting and scorecards are updated by both the vendors and distributed between the Management team
  • Organize and prepare meeting schedules for various departments
Educational background / Work experience
  • Bachelor's degree in Business Administration preferred.
  • 5-7 years of project management, administration experience
  • Data entry experience
  • Experience managing multiple projects, deadlines and team that does directly report to candidate
  • Working knowledge of general office equipment

  • Attention to detail
  • Desire to be proactive and create a positive experience for others
  • The ability to work to deadlines, frequent changes and new priorities is key to this role. As well as possessing good communications skills, and ability to work in a team environment
