Job description

Job Title: Accounting Assistant โ€“ Accounts Payable & Payroll

Reports To: Controller

Position Summary:

The Accounting Assistant โ€“ Accounts Payable & Payroll is responsible for managing vendor payments, maintaining accurate accounts payable records, and supporting full-cycle payroll processing. This role ensures compliance with financial policies, timely payments, and accurate employee payroll and benefits administration.

Key Responsibilities:

Accounts Payable

  • Create and maintain vendor records, including W-9 documentation and credit applications
  • Process and enter vendor invoices after obtaining appropriate departmental approvals
  • Prepare and distribute weekly check runs, including mailing payments
  • Upload and approve positive pay files through the bank portal
  • Process manual payments and corporate credit card transactions
  • Maintain and organize vendor files, including annual file creation and archiving
  • Administer and process year-end 1099 forms
  • Maintain independent contractor records and compliance documentation
  • Track and maintain sales and use tax records

Payroll Administration

  • Process biweekly payroll accurately and on time
  • Review and verify employee time reporting and payroll data
  • Manage employee lifecycle processes, including new hires, rehires, and terminations
  • Create and maintain employee personnel files
  • Conduct background checks and ensure compliance with hiring requirements
  • Monitor employee eligibility for benefits based on hours worked
  • Administer employee benefits, including medical, dental, vision, life insurance, COBRA, and 401(k) plans
  • Process biweekly 401(k) allocations and employee data transmissions
  • Manage year-end payroll processes, including W-2 preparation and distribution

General Administrative Duties

  • Order and maintain office supplies and printing materials
  • Manage postage machine operations and related supplies
  • Coordinate service and maintenance for office equipment
  • Provide administrative support to the Controller and General Manager

Qualifications:

  • Associate or bachelorโ€™s degree in accounting, Finance, or related field preferred
  • 2+ years of experience in accounts payable and/or payroll processing
  • Knowledge of payroll regulations, tax reporting, and compliance requirements
  • Experience with accounting and payroll systems preferred
  • Proficiency in Microsoft Office, especially Excel
  • Strong attention to detail, organization, and time management skills
  • Ability to handle confidential information with discretion

  • Office-based position with regular interaction across departments
  • Requires adherence to payroll and accounts payable deadlines
