En tant que membre du service des installations, le ou la receptionniste doit effectuer une multitude de taches administratives et de bureau liees aux operations de la reception, a assister le gestionnaire du lieu de travail (Workplace Manager) dans les taches de gestion du bureau, au besoin, et a jouer un role crucial pour donner une bonne premiere impression de l'entreprise.

Taches quotidiennes:

  • Assurer un service a la clientele proactif et le traitement rapide de toutes les demandes de soutien envoyees a l'equipe des installations;
  • Recevoir et distribuer le courrier aux departements appropries;
  • Repondre et faire suite aux appels telephoniques ou messages (internes/externes) de maniere prompte et professionnelle; 
  • Coordonner avec le service des TI la communication et la coordination des livraisons d'equipement pour nos employes en teletravail, ainsi que tout envoi national ou international entre nos studios, a partir du bureau de Montreal;
  • Gerer l'inventaire pour les besoins du bureau et se charger du reapprovisionnement;
  • Accueillir et assister rapidement tous les visiteurs et employes avec une attitude professionnelle, positive et enthousiaste;
  • Preparer et modifier regulierement des documents, y compris la correspondance; 
  • Assurer la presentation irreprochable de la reception et la disponibilite de toutes les fournitures de bureau necessaires; 
  • Soutenir le gestionnaire du lieu de travail dans la gestion de la securite du studio en assurant le respect des procedures de securite;
  • Aider a la preparation des comptes de depenses de l'equipe des installations; 
  • Coordonner la reservation des salles de reunion et toute autres taches en lien avec ces reservations (accueil des invites, demandes de boissons ou nourriture, etc.);

Keywords Studios Montreal is looking for a Receptionist to join our Facilities Team.
As part of Facilities Services, the Receptionist role performs an extensive array of administrative and clerical tasks related to front desk operations, assists the Workplace Manager with management duties of the site as needed and plays a crucial role in the organization of the first Impression.

Daily Tasks:

  • Ensure proactive customer service and timely processing of all Facilities Support requests;
  • Receive and dispatch incoming mail to the appropriate departments;
  • Promptly answers and handles all phone calls and messages (external/internal) in a professional manner;
  • Coordinate with the IT department to communicate and coordinate equipment deliveries for our work from home employees as well as any national or international shipments between our studios from the Montreal office;
  • Restock and manage inventory for facility needs;
  • Promptly greet and assist all visitors and employees with a professional, positive, and enthusiastic attitude;
  • Regularly prepare and modify documents including correspondence;
  • Ensure front desk tidiness and availability of all necessary office stationeries;
  • Assist Workplace Manager in the management of studio security by following safety & security procedures;
  • Assist in completing expense reports;
  • Coordinate meeting room bookings and other tasks related to these booking (guest check-in, F&B requests, etc.);
  • Assist Workplace Manager with various projects or tasks as needed.

Requirements

Qualifications requises:

  • Minimum d'un (1) an d'experience dans le service a la clientele ou un role administratif; 
  • Etudes superieures (post-secondaires) preferables; 
  • Parfaitement bilingue, francais et anglais, tant a l'oral qu'a l'ecrit; 
  • Capacite a hierarchiser et mener a bien de multiples taches; 
  • Excellentes competences en communication et relations interpersonnelles pour interagir efficacement dans une variete d'environnements, avec des personnes et des besoins varies;
  • Bon esprit d'equipe, avenant(e), et capable de demontrer une attitude aussi professionnelle qu'accueillante; 
  • Solides competences en administration, en resolution de problemes et en organisation;
  • Capacite a travailler de facon autonome; 
  • Capacite d'apprentissage de nouveaux logiciels; 
  • Connaissances intermediaires de la Suite Google (Gmail, Gchat, Drive, etc.); 
  • Une formation de premiers secours, un atout.

Requirements:

  • One (1) year minimum support clerk/administrative/customer service experience
  • Post-secondary education preferred
  • Fully Bilingual, French/English speaking and writing
  • Ability to prioritize and manage multiple assignments
  • Excellent communication and interpersonal skills to deal effectively with a variety of environments, people and needs
  • A friendly Team player, professional, easily accessible, with an approachable demeanor
  • Strong administrative, problem solving and organizational skills
  • Self-direction and the ability to work un-supervised
  • Ability to learn new software systems
  • Intermediate knowledge of Google Workplace Suite and applications
  • First aid responder course is desirable
