Information:

Job Title: Administrative Assistant/ Receptionist
Job Responsibilities:

  • Student Routing
  • Filing
  • Report
  • Answering all incoming calls from multi-line switchboard
  • Transferring/routing all calls, taking messages as needed
  • Assisting all applicants and students (on the phone and in-person) with basic campus information
  • Greeting visitors and prospective students
  • Providing administrative support as needed (faxing, filing, basic word processing, etc.)
  • Processing incoming/outgoing mail and courier packages
  • Entering all data from phone inquiries into the system (e.g. name, addresses, and programs of interest)
  • Compiling all admissions documents for students folders prior to enrollment
  • Filing other pertinent information into student files, including transcripts
  • Maintaining student files on an ongoing basis to ensure completeness
  • Identifying required supplies and coordinating placement of orders
  • Proctoring entrance examinations
  • Maintaining test and interview schedules for management and admission representatives
  • Receiving and processing all cash and credit card payments from customers
  • Compiling weekly reports
  • Developing reports
  • Compiling all admissions documents for students folders prior to enrollment
  • Filing other pertinent information into student files, including transcripts
  • Maintaining student files on an ongoing basis to ensure completeness, including ensuring that electronic copies of students records are produced
  • Perform other duties and responsibilities as assigned

Preferred Qualifications/Competencies

  • One (1) year of related experience and a High School diploma/GED
  • Proficiency in Microsoft Word and Excel
  • Excellent organizational, analytical, and problem-solving skills
  • Exceptional customer service, listening, and teamwork skills
