Part-Time Office Administrator & Marketing Coordinator

Toronto | 24 Hours/Week | Monday, Tuesday & Thursday (days may periodically change)

Financial Executives International Canada (FEI Canada) is looking for a proactive Part-Time Office Administrator & Marketing Coordinator to join our small national team.

This is not a role where every day looks the same. You might be coordinating a webinar, updating our website, helping with an event, preparing conference materials, working in our database or creating something in Canva sometimes all in the same week.

You’ll work primarily remotely 24 hours per week, generally eight hours each Monday, Tuesday and Thursday. In-person meetings in Toronto will typically take place once or twice monthly.

FEI Canada is a leading professional association for senior financial executives across Canada.

With 12 chapters and more than 1,100 members, we provide networking, professional development, thought leadership, advocacy, webinars, events and an annual national conference for financial leaders across the country.

What You’ll Be Doing

This role touches a little bit of everything  administration, events, marketing, webinars, membership and our national conference.

Office & Administration

  • Coordinate meetings, calendars, virtual meeting links and logistics
  • Support Board and committee meetings
  • Maintain information in our CRM and event database
  • Assist with monthly Visa reconciliations
  • Monitor and respond to FEI Canada internal email inquiries
  • Maintain Chapter Board information and annual updates
  • Help prepare and distribute Annual General Meeting materials
  • Assist with other annual administrative requirements and projects

Events, Website & Communications

  • Help support events for several FEI Canada chapters
  • Send chapter event and promotional emails
  • Update event, sponsor and chapter information on the FEI Canada website
  • Upload and maintain logos and other website content
  • Assist with event registration, communications and logistics

National Conference

Once a year, you’ll also help bring one of our biggest events to life.

Responsibilities include:

  • Managing attendee and golf registrations
  • Responding to registration questions and preparing weekly reports
  • Supporting sponsors and conference deliverables
  • Coordinating speaker communications
  • Collecting speaker headshots, bios, titles and session information
  • Collecting sponsor and partner logos
  • Updating content in the conference app
  • Coordinating delegate bag materials and sponsor inserts
  • Preparing name badges and conference kits
  • Supporting award administration
  • Providing on-site administrative and event support

And yes you’ll travel with the team for approximately five days each year in May/June to attend and support the FEI Canada National Conference.

Webinars

  • Help organize webinars using Zoom and GoTo Webinar
  • Coordinate speakers, calendar invitations and tech checks
  • Collect speaker materials
  • Assist with webinar registration, communications and delivery

Membership

  • Prepare membership reports and maintain member records
  • Support membership payments, renewals and administration
  • Assist with Chapter dues and partner memberships
  • Keep information accurate and up to date in our CRM and membership systems

Marketing Support

  • Create graphics and promotional materials using Canva
  • Assist with surveys and member/event feedback
  • Support basic video editing and other digital content projects

What We’re Looking For

You’ll be a great fit if you are:

  • Highly organized and detail-oriented
  • A proactive self-starter who is comfortable working independently
  • Good at managing several projects and deadlines at once
  • Comfortable with technology and quick to learn new platforms
  • A strong written and verbal communicator
  • Confident using Microsoft Word, Excel and PowerPoint
  • Comfortable working with websites, databases, email platforms and virtual meeting technology
  • Dependable, adaptable and willing to jump in where needed

You don’t necessarily need experience with every system we use. Being comfortable with technology, eager to learn and able to figure things out is just as important.

A Few Perks

Primarily remote
Work from home as part of a small national team, with in-person meetings in Toronto typically once or twice monthly.

Three-day workweek

✈️ Annual conference travel
Travel approximately once per year for five days to support our national conference and meet members, speakers and partners from across Canada.

Holiday closure
FEI Canada’s office closes over the December holiday period for approx. two weeks (this varies by year)
