Job description

GEMTEC is a growing firm with offices throughout Atlantic Canada and in Ontario, and we are looking for a motivated and skilled Administrative Assistant to join our Team. We are seeking a temporary (end date is March 2027) full-time Administrative Assistant to join our team in our Ottawa, ON office. This role will involve providing crucial support to the office and as such involves being proactive and organized with a strong administrative background and a willingness to contribute hands-on support.

Main Duties:

  • Provide and maintain confidential administrative support for the Ottawa team.
  • Daily administration tasks including ordering and management of office supplies, and electronic and physical file maintenance.
  • Proficient in Microsoft Office Suite, including Excel and Word, with a working knowledge of Adobe software programs.
  • Support the editing and formatting of technical letters/reports, including date entry.
  • Ensure accuracy, clarity, and adherence to company standards in all written documentation.
  • Respond to emails, answering/direct phone calls, greet clients, and receive office deliveries.
  • Procure and manage office supplies and equipment.
  • Willing to step up to support in a variety of areas as opportunities present themselves.
  • Performing other related duties as required.
  • Adhering to all company policies.

Educational & Experience Requirements:

  • Community College diploma or equivalent in office administration or a related field is a plus.
  • Strong computer skills, with proficiency in the Microsoft Office Suite and Adobe software programs.
  • Strong communication, organizational, interpersonal, and multitasking abilities.
  • Proven experience as an administrative assistant.
  • Ability to work independently and collaboratively within a team.
  • Overtime may be required during peak times and to meet client deadlines
  • Must have a valid driver's license and access to personal vehicle.
