Job description

We are currently seeking to add a full-time Marketing & Proposal Coordinator to our team. This position is hybrid. Most of the role can be performed remotely, with occasional in-person duties.

Candidates located near the Greater Boston area who can travel to Woburn, Massachusetts, as needed, will be considered.

Your Responsibilities as a Marketing & Proposal Coordinator :

  • Work alongside our Woburn-based Marketing Manager and Sr. Marketing Coordinator in pursuit of new work, with an emphasis on projects in the northeastern United States 
  • Assist with the retrieval and tracking of requests for proposals/qualifications and help with go/no-go discussions 
  • Support proposal plan preparation and drive proposal kick-off discussions 
  • Contribute to compelling firm qualifications, proposals, and presentation materials in support of Apex's business initiatives. Includes layout, writing, and coordination 
  • Assist with the writing, cataloging, and updating of project materials, such as profiles, team resumes, and client references 
  • Produce hard-copy proposal documents as needed, from the Woburn, Massachusetts office 
  • Travel to client locations to deliver proposals, on occasion 
  • Support special events and trade shows, on occasion 
  • Perform tasks to ensure the quality of marketing materials, such as proofreading, aesthetics, and compliance reviews.  
  • Update the client relationship management (CRM) system and related databases 
  • Fulfill other marketing tasks as needed 

What we're looking for:

  • Degree, certification, or equivalent experience in communications, marketing, business, English, journalism, or a related field 
  • Minimum of 3-5 years of experience as a marketer, preferably in the architecture, engineering, and construction (AEC) industry 
  • Proficiency in Adobe InDesign and Microsoft Office 
  • Proposal experience required
  • Excellent prioritization and time management skills 
  • Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced, deadline-driven environment 
  • Excellent writing and copy editing capabilities 
  • Strong communications skills and the ability to adapt to different communication styles 
  • Highly motivated, willing to be part of our Apex team and enhance our marketing efforts 
  • Ability to travel to the Apex office in Woburn, Massachusetts, for proposal production, and to client locations for proposal delivery 
  • Ability to travel between offices for related tasks on occasion 
  • Valid driver's license, safe driving history and reliable transportation 
  • Sponsorship is not available for this position now or in the future

Annual Expected Pay Range:  $75,000 - $85,000 per year
