Pay Range: $22.50 to $32.40 hourlyShift Schedule: 4 -10 hour shifts, Monday - Thursday, 7:15a-5:45p, with 45 min lunch; Saturdays 7:30a - 12:30p (based on clinic needs)

Position Summary:
Dental Assistant Coordinator is responsible in supporting the Dental Assistant Supervisor in oversight of daily back-office operations, clinical flow, and staff; ensuring implementation and compliance with all HealthPoint policies and procedures.
Compensation is dependent on skills and experience.
Your contribution to the team includes:
  • Coordinate daily dental assistant assignments to ensure efficient back-office operations and completion of required duties.
  • Address back-office situations that require immediate attention in the absence of the Dental Assistant Supervisor.
  • Facilitate ordering of back-office supplies including dental supplies, instruments and patient education materials according to Health Point procedures and timetables.
  • Facilitate communications among the Dental Assistant staff regarding procedures, changes, clarifications, and distribution of pertinent materials.
  • Facilitate morning dental huddle in absence of the Dental Assistant Supervisor.
  • Assist the Dental Assistant Supervisor with new employee orientation and ongoing training of Dental Assistants.
  • Oversee the cleaning and maintenance of dental equipment is completed on a daily, weekly, monthly and quarterly basis.
  • Assist in trouble shooting minor computer issues and report to DAS if an IT ticket needs to be submitted.
  • Monitor Waste, Sharps and Biohazard and contact the necessary vendor for any pick-up of full containers.
  • Assist and designate dental assistants to help complete and maintain inventory and on all HealthPoint logs listed in the Month End Checklist.
  • Complete assigned reports on a monthly basis.
  • Responsible in managing the Dental Equipment Inventory Smartsheet as needed and during Preventative maintenance.
  • Assist Dental Assistant Supervisor on quarterly audits of staff and EDR charting notes.
  • Performs daily, weekly, monthly, quarterly and other duties as assigned by supervisor.
  • Greet and prepare patients for exams by identifying patient's chief complaint and taking vitals.
  • Access and update patient information in Electronic Health Record (EHR), Electronic Dental Record (EDR) and Electronic Practice Management (EPM) computer system as required.
  • Provide chair side assistance to dental providers with exams and procedures including, but not limited to, prophylaxis, root canals, restorative, oral surgery, crowns and bridges.
  • Perform digital imaging, prophylaxis, sealants, provide telephone refilling of medications. Record medication refills in patient record. Reviewed 11/2022 Dental Assistant Coordinator Page 2 of 3 Updated 11/2022
  • Provide instructions to patients on the use of medications as directed by the provider.
  • Provide instruction in home care and give general health information as directed by a provider.
  • Sterilize used equipment, instruments and operatories following OSHA, WISHA guidelines. Prepare and stock operatories at the start and throughout each day.
  • Remain current on WISHA/OSHA guidelines, HealthPoint's sterilization updates, policies, and procedures as appropriate.
  • Responsible for monitoring and staying current on daily schedule.
  • Must be flexible and able to adapt to multiple patient populations while maintaining a high level of professionalism and quality patient care.
  • Act as liaison between receptionists and providers ensuring timely and orderly patient flow throughout the clinic in an effort to reduce the overall no-show rate and increase patient access.
  • Maintain confidentiality of all patient medical/dental records, financial, and personal information.
  • Maintain good attendance, is punctual and works full scheduled shift is a condition of employment.
  • Demonstrates respectful, professional, and appropriate behavior that supports a team-oriented work environment.
  • Demonstrate a commitment to the mission, core values and goals of HealthPoint and its healthcare delivery including the ability to integrate values of integrity, wisdom, creativity, cooperation, responsibility and respect into appropriate programs and services.
  • Perform other duties as assigned by supervisor.
  • Attend staff meetings, in-service meetings and participate in agency committees and task force activities as required.

Must have's you'll need to be successful:
  • Certificate from a Dental Assistant program and two (2) to three (3) years of related dental experience.
  • Ability to read and interpret technical and other complex documents. Ability to write routine correspondence such as letters and memos. Ability to present information in one-on-one and small group situations to internal and/or external clients. Ability to work with patients and interpreters to communicate information.
  • Work situations require consideration and interpretation of circumstances or information to choose the most effective response. Solutions may be technical yet relatively straightforward and well-defined once problems are understood
  • Possess basic operating knowledge of computers. Beginning level of Word, Excel and Outlook required. Recent experience with an electronic dental record (EDR) and electronic practice management application strongly desired. Possibility of training to become a Super User to help other dental assistants with any minor applications problem
  • Maintain current registration/licensure with the State of Washington.

Proof of vaccination for COVID-19 is required, prior to start. HealthPoint does not accept the Johnson & Johnson COVID-19 vaccine as proof of vaccination. If you have received the Johnson & Johnson vaccine, we ask that you provide documentation demonstrating proof of an alternate COVID vaccine or vaccine series. All new employees are also required to show proof of immunizations and/or immunity to MMR (measles, mumps, rubella), Varicella, annual Influenza and TB QuantiFERON Gold Titer. Additionally, if you work in a HealthPoint clinic, Tdap (within last 10 years) is required. Hepatitis B. is required for clinical employees with potential exposure to blood/blood products. All immunizations are a condition of employment. Upon hire, employees must provide proof of their immunizations and/or immune titer results prior to starting or no later than their fifth (5) business day of employment.

  • If you are providing immunizations from an electronic health record, please ensure that you obtain a copy of your full records rather than a screenshot. Each page of your records should include your first and last name, date of birth, and the name of the health system from which the records are pulled.
  • If records do not show any data, please seek guidance from your provider for further assistance.
  • If you are unable to provide proof as noted above, you can choose to have a lab titer drawn to check immunity or to be re-vaccinated. If you receive vaccination(s) or lab titers, you may obtain them through HealthPoint at no cost to you. This is a great opportunity to get your immunization record up to date at no additional expense.
