Job description

The Challenge:

The U.S. Coast Guard relies on accurate, timely, and compliant publishing processes to support its mission across the enterprise. What if you could use your communication, project coordination, and publishing skills to help improve print ordering, streamline publication workflows, and support the Coast Guard’s Directives and Publications Division? As a Print Project Assistant with JCTM, you will help Sponsors navigate Government Publishing Office (GPO) print ordering requirements, publication processes, and documentation controls while contributing to efficient, high-quality publishing outcomes.

Challenging Projects:

As a Print Project Assistant with JCTM, you will provide project and administrative support to the U.S. Coast Guard Directives and Publications Division. You will serve as a key point of coordination for predominantly print-related publishing activities, assisting Coast Guard Sponsors with GPO direct print ordering, publishing requirements, Section 508 considerations, documentation, and lifecycle process compliance. You will help support the Coast Guard’s efforts to decentralize print ordering, establish efficient and cost-saving processes, and improve delivery of printed products to Sponsors.

Key Responsibilities:

  • GPO Print Ordering Support: Become familiar with Government Publishing Office ordering processes and efficiencies and assist Coast Guard Sponsors with GPO direct print ordering requirements and associated forms.
  • Sponsor Coordination: Communicate directly with Coast Guard publication owners and representatives regarding print and electronic publishing processes, appropriate templates, compliance standards, and project status.
  • Print Project Tracking: Track print projects, assignments, training activity, and other business work products while maintaining accurate records and reporting project progress.
  • Audit Portfolio Maintenance: Maintain meaningful correspondence and documentation associated with lifecycle print publishing activities in required audit portfolios and checklists.
  • Publishing Compliance: Advise print and electronic publishing Sponsors regarding documented compliance requirements and remain current on applicable GPO requirements.
  • Section 508 Support: Apply basic accessibility practices to publishing products, including identifying potential Section 508 issues and supporting basic remediation using Microsoft Office and Adobe tools.
  • Editing and Quality Support: Assist with proofreading, grammar, spelling, basic editing, template application, and final quality checks for publishing products.
  • Daily Team Coordination: Participate in daily Microsoft Teams meetings as required, provide status updates on assigned work, and report significant project accomplishments and deliverables.
  • Customer Service: Provide proactive, professional, and positive communication to Coast Guard Sponsors and the broader print publishing community of practice.
  • Process Improvement: Support initiatives intended to decentralize enterprise print ordering and improve the efficiency and cost-effectiveness of Coast Guard print production.

State-of-the-Art Technology:

Expand your expertise by working in a predominantly virtual and cloud-enabled environment using technologies such as Microsoft Office 365, Microsoft Teams, SharePoint, Microsoft Power Platform/Power Apps, and Adobe Acrobat Pro or similar publishing and document-management tools.

New Skills:

Collaborate with publishing, administrative, technical, and government stakeholders while gaining practical experience with federal publishing processes, Government Publishing Office ordering procedures, Section 508 accessibility requirements, audit documentation, and Coast Guard publication lifecycle management. The position will also receive on-the-job familiarization with the GPO print ordering process, including Simplified Purchase Agreement (SPA) training.

You Have:

  • Associate’s degree or equivalent preferred in English, Communications, Information Technology, Policy, Administration, Military Science, Library Science, Homeland Security, or a related field
  • 2 years of customer service or interoffice/interagency experience, preferably involving print production and project assistance/support
  • Proficiency with Microsoft Office applications and basic document editing
  • Typing proficiency of at least 35 words per minute
  • Strong organizational skills with the ability to track assignments, documentation, and business work products
  • Ability to communicate professionally and effectively with customers and government stakeholders
  • Strong attention to detail and ability to maintain accurate project documentation
  • Highly proficient command of the English language
  • Ability to work effectively in a predominantly virtual environment and participate in daily Microsoft Teams coordination meetings

Nice to Haves:

  • Previous experience with the Government Publishing Office (GPO)

Clearance:

This position does not require a security clearance. Applicants selected will be subject to a government background investigation and must meet eligibility requirements for Tier 1, Low Risk, Non-Sensitive HSPD-12 credentialing, including completion of an SF-85, and must be eligible to obtain and maintain a Common Access Card (CAC) for access to Coast Guard facilities and information systems.
