Job description

Job Title: Administrative Assistant
Company Overview: High Performance Aviation, LLC is an aircraft brokerage firm that helps aircraft owners buy and sell private aircraft. We are committed to exceptional service and expertise in the aviation industry. As we continue to expand, we're seeking a dedicated Administrative Assistant to support our growing team.
Position Overview: The Administrative Assistant will provide comprehensive administrative support in a fast-paced environment. This role requires excellent organizational skills, effective communication, and the ability to manage multiple tasks simultaneously. In addition to core administrative duties, this person will provide light support to our content efforts by capturing photos and short videos around the hangar and flight line and helping schedule and post social media content. We are an AI-forward company, and this role uses AI tools daily. We're looking for someone who embraces technology and is excited to work alongside AI rather than intimidated by it.
Key Responsibilities:
  • Answer phone calls and respond to customer inquiries.
  • Manage executive calendars and arrange travel, meetings, and events.
  • Perform data entry and manage spreadsheets and customer databases.
  • Assist with billing and data entry in QuickBooks.
  • Support website and social media management, including scheduling and publishing posts using provided templates and guidance.
  • Capture photos and short video clips of aircraft, facilities, and team activities to support marketing and social media content.
  • Conduct general office duties and local errands.
  • Assist sales representatives with aviation market research.

Qualifications:
  • Comfortable using AI tools (such as ChatGPT, Claude, or similar) in daily work, with eagerness to learn new tools and adopt them into everyday tasks.
  • Strong computer and internet research skills.
  • Proficiency in Microsoft Office.
  • Excellent scheduling, planning, and travel booking skills.
  • Superb communication and interpersonal skills.
  • Comfort using a smartphone or camera to capture basic photo and video content, and familiarity with common social media platforms (Instagram, Facebook, LinkedIn).
  • Ability to work independently and in a team setting.
  • Experience in the aviation industry or willingness to learn aviation terminology is a plus.
  • Professional demeanor in interactions with clients and team.
  • Bilingual abilities in Spanish or Portuguese are a plus, but not required.
  • Bachelor's Degree preferred but not required.
