The Opportunity

Leavitt Machinery is looking for an organized and motivated Sales Administrator to join our team in Surrey, British Columbia. As the Sales Administrator you will work closely with our Territory Sales Representatives and Managers throughout the sales process to ensure our customers receive exceptional service.

Essential Duties & Responsibilities

As the Sales Administrator your key responsibilities will include:

  • Provide administrative support to the Aftermarket Sales team, ensuring smooth order processing and customer satisfaction
  • Manage sales and purchase orders within our ERP and SoftBase systems, including creation, review, receiving and follow-up
  • Communicate with vendors and internal stakeholders to resolve customer inquiries, backorder issues, and shipping concerns
  • Maintain accurate customer records and CRM data
  • Process customer returns, and core returns, ensuring accurate documentation and coordination with the warehouse and vendors
  • Assist with Accounts Receivable and Accounts Payable tasks, including credit/rebill processes and invoice settlements
  • Support the team with daily sales tracking, order status updates, and vendor coordination for product pricing and availability
  • Provide support for Sales Representatives and other administrators as needed
  • Facilitate vendor setups and part number requests to ensure timely parts purchasing and inventory management
  • Help coordinate the receipt of orders and handle related freight charges

Required Skills & Qualifications

The ideal candidate will possess the following skills, knowledge, and competencies:

  • Previous work experience as a Sales Administrator, Sales Coordinator, or comparable is preferred
  • Strong computer skills and working knowledge of Microsoft Office Suite
  • Excellent customer service skills
  • Strong verbal and written communication skills
  • Highly organized with good attention to detail
