Administrative Assistant - ASE Operations Admin Team, Apple Services Engineering

We are hiring multiple Administrative Assistants to join the ASE Operations Admin team within Apple Services Engineering (ASE). Our team's mission is simple but powerful: we collaboratively support internal and external customers, helping them to maximize their efficiency while streamlining processes and keeping teams engaged. In these roles, you will provide essential support to senior leaders across ASE — including Directors and Senior Managers spanning a range of engineering, programs, and operations functions. You will also play a key operational role across programs, events, and day-to-day logistics. These are dynamic, multi-faceted positions in a fast-paced environment — requiring the ability to anticipate needs, think critically, and offer solutions with a high level of integrity and professionalism. We're looking for collaborative team members with a friendly work style who are well-organized, proactive, and thrive in an environment where no two days look exactly alike.

As a member of the ASE Operations Admin team, you will be responsible for managing scheduling, organizational logistics, budget oversight, and operational support across multiple functional areas of ASE. You will partner closely with senior leaders and cross-functional teams, supporting ASE organizations across our Cupertino and Seattle locations. Responsibilities will naturally shift based on leadership needs, organizational priorities, event cycles, and team dynamics.

Executive & Leadership Support

  • Provide calendar management and scheduling support for senior-level leadership, coordinating meetings, conference calls, and logistics across multiple time zones
  • Manage domestic and international travel arrangements, including flights, hotels, and ground transportation
  • Serve as a trusted point of contact for team communications, logistics, and escalations, exercising sound judgment and discretion at all times
  • Provide backup support for other admins across the ASE team as needed

Building & Facilities Support

  • Oversee space planning, manage facility needs, and ensure office supplies and equipment are available
  • Handle building access and related site logistics
  • Coordinate IS&T support and maintain office equipment such as printers and shared resources
  • Work closely with administrative teams at other locations to align on processes, procedures, and cross-site coordination

Fiscal Planning & Procurement

  • Apply knowledge of Apple finance policies to manage internal and external orders, ensuring compliance and efficiency
  • Process and track purchasing using P-card, eApproval workflows, and other procurement systems
  • Manage expense reconciliation and coordinate vendor orders including office materials and supplies

Program & Event Operations

  • Coordinate logistics for events, workshops, and programs — including room bookings, catering, vendor management, and on-site coordination
  • Manage ordering and inter-office shipping of materials and program resources
  • Support overall operational readiness for learning programs, team events, and leadership visits across locations

Minimum Qualifications

  • 2+ years of experience as an Administrative Assistant, supporting senior-level management in a corporate or professional environment or comparable experience
  • Demonstrated ability to handle sensitive and confidential information with discretion and integrity
  • Experience coordinating logistics such as room bookings, catering, shipping, or event support
  • Comfortable working with purchasing, expense reconciliation, or P-card processes
  • A Bachelor's degree, Associate's degree (AA), or equivalent practical experience

Preferred Qualifications

  • Experience supporting multiple managers or directors simultaneously across different teams or functions
  • Proficiency with Apple tools including iCal, Keynote, Mail, eApproval, and other macOS-based systems
  • Experience with Quip, Box, Confluence, or similar collaboration and document management platforms
  • Familiarity with event operations, training coordination, or program logistics
  • Experience working with vendors for materials ordering, reprographics, or office supply management
  • Capable of influencing others with a calming presence, while ensuring tasks are handled efficiently and accurately
  • Curious, adaptable, and a dedicated problem solver who thrives on shifting priorities
  • Prior experience in a technology company or similarly fast-paced corporate environment is a plus
  • Strong organizational skills with exceptional attention to detail, accuracy, and follow-through
  • Ability to manage competing priorities and remain composed in a fast-paced, dynamic environment
  • A self-starter with strong judgment, capable of making effective decisions and knowing when to escalate

Pay & Benefits

At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $37.42 and $65.24/hr, and your base pay will depend on your skills, qualifications, experience, and location. Apple employees also have the opportunity to become an Apple shareholder through participation in Apple's discretionary employee stock programs. Apple employees are eligible for discretionary restricted stock unit awards, and can purchase Apple stock at a discount if voluntarily participating in Apple's Employee Stock Purchase Plan.
