Job description

Company Description

CREATIVITY IS OUR SUPERPOWER. It’s our heritage and it’s also our future. Because we don’t just make toys. We create innovative products and experiences that inspire fans, entertain audiences and develop children through play. Mattel is at its best when every member of our team feels respected, included, and heard—when everyone can show up as themselves and do their best work every day. We value and share an infinite range of ideas and voices that evolve and broaden our perspectives with a reach that extends into all our brands, partners, and suppliers.

Job Description

The Opportunity:
The Associate Manager Media Operations is a critical operational hub within Mattel's Global Influencer & Creator Marketing Center of Excellence. This role owns the day-to-day operational infrastructure that enables the global creator marketing function to move with speed, consistency, and accountability — across brand teams, regional markets, and agency partners. Reporting to the Director of Media Operations, this person is the connective tissue between strategy and execution.

What Your Impact Will Be:

Creator Contracting & Legal Operations

  • Own and maintain the global creator contract tracker across all brand and regional activations, ensuring accuracy, up-to-date signature status, and proper filing of executed agreements
  • Serve as the primary point of intake for new contract requests, coordinating with Mattel Legal to initiate, route, and close creator and influencer agreements
  • Draft and adapt standard creator contract documents, briefs, and deal memos in partnership with Legal and the broader influencer team
  • Maintain organized contract archives in Box, ensuring all teams have access to current, executed documents

Budget, Finance & Purchase Orders

  • Support the global influencer team in budget tracking, ensuring spend is logged accurately against campaign and brand budgets
  • Process and track purchase orders, coordinate with Finance on invoice submissions, and flag discrepancies or timing issues to the Director, Media Operations
  • ● Maintain budget trackers and assist with month-end and quarter-end reconciliation reporting
  • Initial and manage all finance processes on the influencer team’s behalf such as managing systems like Clients & Profits, POs, invoicing etc.
  • Partner with regional influencer leads to gather and log budget actuals, ensuring spend is accurately reflected in the global tracker on a monthly and quarterly basis.

Agency Coordination

  • Serve as a key operational liaison with Mattel's tiered creator agency partners (Publicis, Influential, Bobbie, and regional equivalents), managing brief trafficking, deliverable tracking, and reporting timelines
  • Coordinate agency kick-off logistics, status calls, and recap documentation
  • Track agency deliverables against contracted scopes and flag risks or delays to the relevant influencer lead
  • Support onboarding of new agency partners with process documentation and access coordination
  • Calendar & Activation Management
  • Maintain and update the global influencer brand activity calendar, ensuring regional and brand-level activations are accurately reflected and accessible to all stakeholders
  • Partner with regional marketing leads to align activation calendars, flag conflicts, and surface timing dependencies
  • Coordinate team meeting logistics — standing agenda management, scheduling, and notes/action item tracking for global and regional influencer team calls

Asset & Content Management

  • Own the influencer team's asset management infrastructure in Box — maintaining folder architecture, naming conventions, and access permissions
  • Coordinate the upload and organization of campaign assets, creator content, and brand toolkits, ensuring materials are findable and current
  • Partner with brand and creative teams to ensure assets are trafficked to agency and creator partners on schedule
Qualifications

What We’re Looking For:

Required

  • 3–5 years of experience in marketing operations, project management, or a related field; experience in influencer, creator, or entertainment marketing preferred
  • Demonstrated ability to manage multiple workstreams simultaneously in a fast-paced environment
  • PMP or CAPM certification preferred; Asana, Airtable, or Smartsheet platform certifications a plus
  • Experience with contract or legal document coordination; comfort drafting and editing standard business documents
  • High proficiency in Microsoft Office Suite and Box; familiarity with budget tracking and PO processes
  • Exceptional organizational skills and meticulous attention to detail

Preferred

  • Experience working within a global or matrixed marketing organization
  • Prior experience working at or alongside a creative, media, or influencer agency, with a demonstrated ability to navigate cross-functional relationships across internal brand teams and external agency partners
  • Candidates with agency backgrounds who understand how brand-side teams operate will ramp quickly and add immediate value.
  • Exposure to creator marketing platforms (e.g., Captiv8, Skeepers, or similar)

CORE COMPETENCIES

  • Operational Excellence
  • Cross-Functional Collaboration
  • Process Ownership & Documentation
  • Communication & Stakeholder Management
  • Adaptability & Problem Solving

*The pay range is indicative of projected hiring range, however base pay will be determined based on a candidate’s work location, skills and experience. Mattel offers competitive total pay programs, comprehensive benefits, and resources to help empower a culture where every employee can reach their full potential.
