A. ORGANIZATIONAL RELATIONSHIPS

Position Title: Clerk II General GSS031

Immediate Supervisor's Title: BHCC Clinical Coordinator

List positions supervised through immediate contact: None

B. QUALIFICATIONS:

High School Diploma or GED required; Associate Degree or higher preferred.

Minimum of two (2) years of clerical, administrative support, customer service, or office management experience required.

Preferred qualifications include:

  • Experience with insurance verification and authorization processes.
  • Experience utilizing Electronic Health Records (EHR) systems.
  • Experience working in healthcare, behavioral health, crisis services, or social service settings.

Knowledge of agency-specific office procedures and methods. Computer proficiency and ability to utilize Microsoft Office applications, agency software, electronic databases, and electronic health records. Ability to maintain routine clerical records and establish, maintain, and update organized filing, mailing, inventory, and record-keeping systems.

Ability to:

  • Communicate effectively both orally and in writing.
  • Understand and interpret written materials.
  • Multitask and prioritize assignments in a fast-paced environment.
  • Maintain accuracy while managing multiple responsibilities simultaneously.
  • Exercise sound judgment and professionalism when interacting with clients, staff, and community partners.
  • Perform basic bookkeeping.

All employees have a role in Performance Improvement and are expected to collaborate effectively with co-workers, consumers, stakeholders, and community partners to provide consistent, high-quality, consumer-focused services.

G. ASSIGNED DUTIES

Performs a variety of clerical, administrative, and operational support functions for the Behavioral Health Crisis Center (BHCC) and assigned programs. Performs routine and specialized clerical functions while maintaining professionalism, confidentiality, and accuracy.

Duties Include:

  • Provides general clerical support including data entry, filing, scanning, copying, distribution of documents, and maintenance of records.
  • Maintains organized record-keeping and filing systems in accordance with agency policies and HIPAA requirements.
  • Receives, screens, and directs incoming telephone calls and communications.
  • Greets and assists clients, visitors, staff, and community partners in a professional manner.
  • Assists with appointment scheduling, meetings, training coordination, and administrative support functions.
  • Monitors and manages the BHCC Crisis Platform Board, ensuring timely and accurate updates regarding admissions, discharges, transfers, census, and bed availability.
  • Performs insurance verification and obtains demographic and financial information as needed.
  • Utilizes Electronic Health Record (EHR) systems to enter, retrieve, and maintain information accurately.
  • Generates reports and compiles information for operational, regulatory, and performance improvement purposes.
  • Proofreads and verifies reports, documents, forms, and data for completeness and accuracy.
  • Conducts clerical research and gathers information necessary for reports, presentations, and administrative projects.
  • Opens, sorts, distributes, and processes incoming and outgoing mail and correspondence.
  • Maintains office supplies and initiates supply orders to ensure operational readiness.
  • Assists with tracking census information, admissions, discharges, and other operational metrics.
  • Maintains strict confidentiality of all client, personnel, and agency information.
  • Demonstrates strong communication skills while interacting with internal and external customers.
  • Effectively multitasks and prioritizes responsibilities in a fast-paced crisis services environment.
  • Performs other duties as assigned by the BHCC Clinical Coordinator or designee.

NOTE: This position reports directly to the BHCC Clinical Coordinator and serves as a critical administrative support role for the Behavioral Health Crisis Center.
