Job description

Local HVAC and mechanical supplier is looking for an accounts payable specialist to join their team!!

Schedule: Monday–Friday, 8:00 AM – 5:00 PM (1-hour lunch)

Fourth-generation, family-owned wholesale distributor of plumbing, heating, PVF, and HVAC products serving Western New York and Northern Pennsylvania for over 100 years. We are seeking a detail-oriented Accounts Payable Specialist to join our accounting team in our Buffalo warehouse. This is a full-time, direct-hire opportunity with a manageable volume (1,500–2,000 invoices per month) in a professional, open office culture.

Job Duties

• Process accounts payable invoices accurately (30–90 per day) using ERP

• Enter and verify invoices by Purchase Order (PO) number; maintain searchable vendor records

• Prepare and process vendor payments via checks and ACH; perform daily Positive Pay approvals

• Generate and distribute payment reports to associated organizations

• Research and resolve invoice discrepancies and disputes with Receiving and

• Perform Goods Received Not Invoiced (GRNI) reconciliation and analysis

• Handle vendor setup / onboarding and maintain complete vendor files

Qualifications

• 2–5+ years of dedicated Accounts Payable experience preferred

• High school diploma or equivalent required; associate’s degree in accounting/finance a plus

• Experience with accounting/ERP systems required; Epicor experience a strong plus

• Strong Microsoft Excel skills and high attention to detail

• Excellent communication skills for collaboration with warehouse, Receiving, and Purchasing teams

Requirements

• Ability to work full-time, in-office Monday–Friday, 8:00 AM – 5:00 PM

• Must be able to start on or around July 27, 2026

• Comfortable working in a warehouse-based office environment
