Summary

This position is the first point of contact for patients at Neighborhood Health Center, answering all incoming medical-related calls from patients to schedule appointments, answer general inquiries and questions, and transfer triage and clinical calls as appropriate. This position serves patients and customers in a fast-paced, challenging, multi-telephone call center.

Essential Job Duties

  • Answers incoming Medical phone calls timely, professionally and with courtesy and respect.
  • Screens Medical calls using established protocols to determine caller needs and handles or redirects callers appropriately.
  • Documents frequently and routes messages to appropriate Medical staff members in EHR system.
  • Pre-registers Medical patients in Electronic Health Record (EHR).
  • Schedules Medical patients in EHR, following office scheduling guidelines.
  • Inputs all data into EHR accurately.
  • Assists in confirming Medical appointments.
  • Helps contact and reschedule Medical patients when providers' schedules change.
  • Opens phones in accordance with clinic policy and transfers phones to answering service upon closing.
  • Remains calm and effective in high-pressure and emergency situations.
  • Assists in new employee training on specific tasks, as needed.
  • Performs other duties as assigned.

Education and/or Experience

  • This position requires a high school diploma or equivalent.
  • At least one-year experience in a fast-paced customer service setting is required, preferably in healthcare.
  • Ability to fluently communicate in Spanish is strongly preferred.

Knowledge, Skills, Abilities & Behaviors

  • Ability to communicate professionally both orally and in writing with a service-oriented approach, sometimes in stressful circumstances.
  • Basic knowledge of medical terminology and insurance billing terms is preferred.
  • Knowledge of customer service principles and practices.
  • Ability to enter data accurately with attention to detail.
  • Ability to maintain confidentiality and comply with HIPAA policies.
  • Ability to work in a fast-paced environment.
  • Ability to answer and utilize multiple-line telephone.
  • Ability to learn and adapt to changing information and/or policies and procedures.
  • Must be able to display sensitivity to the population and patients served.
  • Must be able to demonstrate a record of reliable attendance and punctuality.
  • Ability to proficiently use EPIC Electronic Health Record.

Working Conditions

  • Regularly sit while working on the computer; use hands and fingers to handle, control or feel objects tools or controls; repeat the same movements when entering data; ability to differentiate between colors, shades, and brightness; read from a computer screen for extended periods of time.
  • Frequently stand and walk around the office to gather supplies, required to do filing, use office equipment, or collaborate with employees.
  • Occasionally stand, stoop and lift or move objects, equipment and supplies weighing approximately 20-25 pounds up to 40-50 pounds.
  • The noise level in the work environment is usually moderate.
