Job description

American West Construction is seeking a highly organized and detail-oriented Preconstruction Coordinator to support our estimating and preconstruction teams in the pursuit and development of heavy civil construction projects. This position plays a critical role in coordinating bid opportunities, managing proposal and qualification packages, supporting estimating activities, and ensuring the successful execution of preconstruction efforts from opportunity identification through project award.
The ideal candidate thrives in a fast-paced environment, possesses strong organizational and communication skills, and has a desire to learn and grow within the construction industry.
Essential Duties and Responsibilities
Bid and Proposal Coordination
  • Monitor and track public and private bidding opportunities.
  • Download, organize, and distribute plans, specifications, addenda, and bid documents.
  • Maintain bid calendars and proposal schedules.
  • Coordinate preparation and submission of bids, qualifications, proposals, and interview materials.
  • Assemble contractor qualification statements, resumes, project profiles, and supporting documentation.
  • Ensure all proposal deliverables are complete, accurate, and submitted on time.

Estimating Support
  • Assist estimators with quantity takeoffs, subcontractor outreach, and bid solicitation activities.
  • Maintain subcontractor and supplier databases.
  • Track subcontractor quotes and proposal submissions.
  • Organize estimate files and maintain historical cost information.
  • Assist with preparation of bid tabs, estimate summaries, and project handoff documents.

CMGC and Preconstruction Support
  • Coordinate preconstruction meetings and maintain meeting notes and action items.
  • Assist in preparation of opinions of probable construction cost (OPCCs), GMP documentation, and value engineering reports.
  • Support project teams with document management and tracking of preconstruction deliverables.
  • Maintain project records and electronic filing systems.

Administrative and Operational Support
  • Coordinate internal pursuit meetings and scheduling.
  • Prepare correspondence, reports, presentations, and meeting materials.
  • Assist with contract, insurance, bonding, and prequalification documentation.
  • Support implementation and maintenance of estimating and project management software systems.
  • Perform additional duties as assigned.

Qualifications
Education and Experience
  • Associate's or Bachelor's degree in Construction Management, Engineering, Business, or a related field preferred.
  • Previous experience in construction, estimating, project coordination, administration, or related fields preferred.
  • Equivalent combinations of education and experience will be considered.

Knowledge, Skills, and Abilities
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple deadlines simultaneously.
  • Strong problem-solving skills and initiative.
