Job description

The Amazon Advertising team is seeking a passionate and driven Executive Assistant to support at least two Directors in the CreativeX organization. This role will support two leaders who oversee a teams of 200+ employees in total. This position will serve as part of a close-knit EA team supporting the broader Advertising organization of 16000+ employees worldwide.
We are looking for a self-motivated, resourceful, tech-savvy problem solver that demonstrates the ability to look around corners, understand business priorities and proactively anticipate needs. Attention to detail, strong organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across global teams is required. You will have the ability to complete complex tasks quickly and proactively with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. Strong written and verbal communication skills are a must. Integrity and discretion in handling confidential information and professionalism in dealing with senior executives internal and external to Amazon is essential. You will also partner with onsite operational teams to support the Amazon Ads locations and play a major role in the team's overall site strategy. This position requires the capacity to work successfully in a team environment, and build effective working relationships.
These roles function as part of a team of EAs working to facilitate and coordinate meetings, team activities and other projects. The ability to operate independently and collaboratively with a strong sense of ownership, bias for action, and a customer service-oriented approach is key to success.
This role requires five (5) days a week in office.
Key job responsibilities
- Complex calendar management, including coordinating all aspects of scheduling and logistics for internal and external meetings
- Seamlessly managing detailed domestic and international travel itineraries, as well as processing expense reports
- Managing large event logistics (in-person and virtually), including catering, preparing agendas, accommodations, AV and presentation materials to ensure the meetings are productive (e.g., global team meetings, annual planning offsites, morale-building activities, etc.)
- Space planning for the team, coordination and execution of office moves
- Partnering closely and proactively with Finance, HR, Recruiting, and EAs throughout the Amazon Ads org
- Attending key meetings, tracking and helping drive completion of key deliverables, and following up on overdue items
- Driving team mechanisms (e.g., staff meeting agendas, weekly business reviews, team-building events, launch events and team recognition)
- Identifying internal and external approaches to solve problems in a creative way
A day in the life
Every day is different, but a typical day will involve managing a high volume of email, coordinating with EAs across the organization to schedule often complex, high priority meetings, and partnering closely with the leadership team on various initiatives and events. Working in a highly ambiguous environment, you will complete tasks and projects quickly and with little to no guidance, taking effective action without having to know the whole picture.
BASIC QUALIFICATIONS
- 3+ years of senior level leadership support, or 1+ years of Amazon experience
- Experience with executive level calendar management
- Experience with domestic or international travel coordination
- Experience with Microsoft Office products and applications
- High school or equivalent diploma
PREFERRED QUALIFICATIONS
- Bachelor's degree
- Experience managing multiple calendars
- Experience in a fast-paced, high-tech company

The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience, qualifications, and location.
