At Helio Outdoors, we are seeking a highly organized and detail-oriented Sales Coordinator to join our growing Sales Operations team supporting our E-Commerce channel as well as other Multi-Channels. This critical role partners with assigned salespersons and their accounts, including Amazon, to ensure accurate order execution, pricing integrity, and effective inventory management. The Sales Coordinator will drive seamless customer experience across all marketplaces by maintaining high-quality product content and efficient order processing, while supporting ongoing marketplace optimization. The ideal candidate thrives in a fast-paced environment, excels at cross-functional collaboration, and leverages strong analytical skills to drive operational excellence and sales growth across retail and ecommerce channels.

Key Responsibilities:


Account Support:

  • Provide day-to-day support for their assigned salesperson and their accounts.
  • Provide operational support for key e-commerce accounts, including Amazon, ensuring alignment on pricing, inventory availability, and order execution.
  • Prepare and maintain quote summaries, pricing structures, forecasts and customer contracts.
  • Coordinate and prepare for customer meetings, including presentations, pricing analysis, samples, and meeting logistics.
  • Maintain accurate customer records across multiple systems and platforms.
  • Identify opportunities to improve sales performance and operational efficiency.
  • Review and analyze customer purchase orders to ensure accuracy and timely execution.
  • Resolve order discrepancies and drive cross-departmental follow-up to ensure resolution.
  • Track domestic and direct import orders to maintain on-time fulfillment.
  • Maintain ownership of account data accuracy for both domestic and direct Import orders.

Ecommerce & Marketplace Management:

  • Provide day-to-day operational support for e-commerce channels, including Amazon, partnering with internal teams and external agency on content, listings, and marketplace execution.
  • Manage marketplace product content from initial setup through ongoing updates.
  • Maintain and analyze line lists, product specifications, and item data to ensure accuracy.
  • Monitor inventory, input orders, and marketplace health across channels, with a focus on Amazon, to ensure smooth operations.
  • Monitor ecommerce orders for inventory availability; coordinate transfers and reorders to minimize out-of-stocks.
  • Partner with Marketing on product listings, imagery, keywords, and competitive positioning.
  • Identify and escalate marketplace issues to salesperson or rep group (content errors, compliance concerns, customer reviews, IP risks).
  • Support new e-commerce initiatives and programs (e.g., drop ship, VMI opportunities).
  • Support compliance requirements across assigned ecommerce platforms including MAP.
  • Contribute to strategic planning to maximize performance across ecommerce channels.
  • Support and participate in e-commerce account meetings, including preparation of pricing, forecasting, and product details

Cross-Functional Collaboration & Projects:

  • Collaborate closely with Sales, Marketing, New Product Development, Operations, and Asia-based partners.
  • Inspect packaging to ensure specifications align with customer requirements.
  • Manage ad hoc projects and support special initiatives as assigned.
  • Contribute to process improvements and cross-training efforts to enhance team efficiency.
Requirements:
  • Minimum of 3 years of experience in sales support, e-commerce sales coordination, account coordination, and/or customer service.
  • Experience working with Amazon and Vendor Central.
  • Experience working with other major e-commerce accounts & their portals (e.g., Walmart, Target, Dick’s Sporting Goods, Bass Pro, Camping World, West Marine, Academy, Yamaha, Scheels).
  • Experience with quote preparation, RFQ’s, use of online customer portals, and marketplace systems.
  • Proficiency in Microsoft 365 – advanced Excel skills (Pivot Tables, VLOOKUP, formulas), Word and PowerPoint.
  • Strong analytical, organizational, and problem-solving skills.
  • Strong written and verbal communication skills with the ability to effectively engage internal teams and external partners
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment.

Preferred Qualifications:

  • Bachelor’s degree preferred.
  • ERP system experience preferred.
  • Experience in consumer-packaged goods (CPG), seasonal products, wholesale, direct-to-consumer (DTC), and retail sectors is highly desirable.
  • Experience with direct import processes with Asia-based partners is preferred.
