Job description

Purpose of Position:

The SharePoint & Collaboration Platform Administrator owns the day-to-day administration and governance execution of the Bank’s Microsoft 365 collaboration estate — SharePoint Online, OneDrive for Business, Teams-connected sites, and the Office application suite. The role is accountable for the operational integrity, permission architecture, and information lifecycle of the platform on which the majority of the Bank’s unstructured content resides.

This is a platform stewardship role, not a tenant-wide administrative role. The incumbent operates within a defined separation of duties: the Bank’s information governance standards and data protection policies are authored by Enterprise Architecture and Information Security respectively, and executed by this position. Global Administrator entitlement is not attached to this role.

Essential Job Functions:

1. Platform Administration

  1. Administer SharePoint Online, OneDrive for Business, and Teams-connected site collections, including provisioning, storage management, hub architecture, and Search configuration.
  2. Manage Microsoft 365 Apps deployment, update channels, and client policy for Word, Excel, Outlook, and PowerPoint across the enterprise.
  3. Perform capacity planning, service health monitoring, and incident response for collaboration workloads within established ITIL incident, problem, and change management processes.
  4. Execute platform changes through the Bank’s change advisory process with documented testing, approval, and rollback procedures.

2. Information Governance & Lifecycle

  1. Implement and enforce site provisioning standards, naming conventions, and content classification at the point of creation.
  2. Administer the site lifecycle: ownership attestation, inactivity review, archival, and defensible disposition of orphaned and expired sites.
  3. Maintain permission architecture, including remediation of broken inheritance, elimination of standing broad-access grants, and periodic recertification of site owners and privileged groups.
  4. Administer external sharing and guest access controls in accordance with the Bank’s data protection standards, and monitor anonymous link creation and external collaboration exposure.
  5. Implement Microsoft Purview sensitivity labels, retention labels, and data loss prevention policies within SharePoint and OneDrive as authored by Information Security and Compliance.

3. Risk, Compliance & Control

a. Produce evidence supporting internal audit, SOX, and FFIEC examination requests relating to collaboration platform access, retention, and change control.

b. Support eDiscovery, legal hold, and records retention requests in coordination with Legal and Compliance.

c. Maintain documented administrative procedures, control narratives, and platform architecture documentation.

d. Operate all administrative access through the Bank’s privileged access management tooling, using separate administrative credentials and just-in-time elevation.

4. Stakeholder Engagement

a. Partner with business unit content owners to design site structures that support their workflows within governance constraints.

b. Deliver enablement and training for site owners on permissions, sharing, and records handling responsibilities.

c. Contribute collaboration platform input to the Architecture Review Board and to enterprise data governance forums.

Knowledge, Skills and Experience Requirements:

  1. Five or more years administering Microsoft 365 collaboration workloads in an enterprise environment, with at least three years of primary SharePoint Online ownership.
  2. Demonstrated experience designing and enforcing SharePoint permission and information architecture at scale.
  3. Working proficiency with Microsoft Purview sensitivity labels, retention policies, and data loss prevention as applied to SharePoint and OneDrive.
  4. Proficiency with PowerShell and the PnP module for bulk administration, reporting, and automation.
  5. Working knowledge of Entra ID role-based access control, conditional access, and privileged identity management concepts.
  6. Experience operating within a formal change management and audit evidence regime.
  7. Experience in banking, financial services, or another regulated industry subject to FFIEC, SOX, or comparable examination standards.
  8. Microsoft 365 Certified: Administrator Expert (MS-102) or equivalent demonstrated capability.
  9. Familiarity with records management and retention schedule administration.
  10. Exposure to information governance considerations for AI and enterprise search use cases, including content classification for retrieval.
  11. Experience with Power Platform governance and its interaction with SharePoint data sources.
  12. Governance orientation. Treats permissions and retention as control obligations rather than service requests.
  13. Operational discipline. Works within change control, documents decisions, and produces audit-ready evidence as a matter of routine.
  14. Business partnership. Translates governance constraints into workable options for content owners rather than defaulting to refusal.
  15. Judgment on escalation. Recognizes when an access or retention question requires Compliance, Legal, or Security adjudication.

Our job titles may span more than one career level. The starting base salary for this role is between $130,000.00 – $150,000.00. The actual base pay is dependent upon many factors, such as: training, transferrable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future.
