What You'll Do
As a Referral Rep, you will report to the Manager/Director and works under the direction of the Office Supervisor. Under general supervision and according to established policies and procedures. Responsibilities include Receptionist duties as well as scheduling specialty and/or diagnostic procedures, knowledge of ICD-10, CPT and online Authorizations. Assists in coordinating health care services to a large outpatient client population. Verifies insurance eligibility when appropriate for the physician office and/or member.
Referral Rep Job Responsibilities:
  • Serve as the primary point of contact for patients and visitors, providing exceptional customer service and managing front-office operations.
  • Coordinate patient check-in, scheduling, registration, and referral processes while maintaining accurate demographic, insurance, and medical record information.
  • Answer and route incoming calls, relay messages, and facilitate communication between patients, providers, health plans, hospitals, and ancillary departments.
  • Process insurance eligibility verification, authorizations, referrals, and pre-certifications to ensure timely patient access to care.
  • Schedule specialty consultations, diagnostic testing, imaging, and follow-up appointments in accordance with provider recommendations.
  • Support clinical referral workflows by gathering required documentation, coordinating care services, and tracking referral completion.
  • Educate patients regarding appointment requirements, referral processes, and provider instructions as directed by clinical staff.
  • Maintain patient charts, records, and electronic documentation while ensuring accuracy, confidentiality, and compliance with organizational standards.
  • Collaborate with physicians, clinical staff, insurance carriers, financial counselors, and external providers to resolve patient care and financial concerns.
  • Identify opportunities to improve referral, scheduling, and administrative processes to enhance patient experience and operational efficiency.
  • Provide general administrative support including data entry, filing, records management, correspondence, and report preparation.
  • Participate in departmental meetings, training programs, professional development activities, and special projects as assigned.
  • Maintain compliance with organizational policies, regulatory requirements, workplace safety standards, and mandatory education requirements.

Required Qualifications
  • The knowledge, skills and abilities as indicated are normally acquired through the successful completion of a high school diploma or equivalent
  • Previous medical office experience, ICD-10, CPT, online insurance eligibility/authorizations, and specialty/diagnostic referral experience preferred.
  • The ability to speak and write Spanish is desired.
