Job Summary:
The Director of AdministrativeOperations provides seniorlevel administrative, financial, and operationalleadership for the Division of Cardiology within a highly complex clinical,research, and educational environment. Reporting directly to the DivisionChief, this position serves as the Chief's principal administrative advisor andoperational proxy.
The Director leads divisional financialplanning, clinical operations, space and facilities management, workforceplanning, and strategic initiatives, working in close collaboration withDepartmentlevel Human Resources, Faculty Affairs, and Research Administration.This role is accountable for ensuring divisional resources-particularlyphysician faculty and Advanced Practice Providers (APPs)-are deployedefficiently to maximize access, productivity, and professional revenue, whilemaintaining compliance with institutional policies and regulatory requirements.
Duties:
Financial Management / StrategicPlanning
Develop and manage the Division's annual operating and capital budgets, including forecasting, variance analysis, and financial reporting.
Provide strategic financial analysis related to clinical services, professional billing performance, payer mix, and revenue trends.
Monitor divisional expenditures to ensure fiscal responsibility, sustainability, and compliance with University and College policies.
Lead the development, implementation, and monitoring of divisional strategic and operational plans.
Identify opportunities for clinical program growth, service expansion, and operational efficiencies in collaboration with the Division Chief.
Coordinate divisional marketing, outreach, and communication initiatives with Departmental and institutional partners.
Clinical Operations and ClinicOptimization
Serve as the Division's primary administrative partner to Hospitalbased Clinic Directors and ambulatory leadership to coordinate and optimize clinical operations.
Work closely with Clinic Directors to ensure physician faculty and APPs are appropriately assigned to clinic sessions based on clinical capacity, subspecialty expertise, access needs, and divisional priorities.
Lead divisional clinic template design, provider scheduling strategies, and session allocation to optimize professional fee revenue and patient access.
Monitor and analyze clinic utilization, session fill rates, access metrics, provider productivity, and revenue performance.
Identify operational gaps and implement corrective actions in partnership with clinical leadership.
Support the planning and operational execution of new or expanded clinics tied to service line growth or changes in patient demand.
Coordinate with Departmental and Hospital partners to align clinic operations with space constraints, staffing models, and institutional policies.
The Director is accountable for ensuring divisional clinical resources are deployed efficiently to maximize access, productivity, and professional revenue.
Operations Management
Direct daytoday divisional administrative and operational activities.
Oversee facilities planning, space allocation, equipment needs, and renovation projects in coordination with Department and College leadership.
Manage administrative oversight of onsite and offsite clinical operations, including leases and operational agreements.
Produce and analyze operational reports related to clinical activity, staffing, space utilization, and performance metrics.
Grants and Research Administration(Divisional Oversight)
Provide divisionallevel oversight and coordination of grants and research finances in partnership with Departmental Research Administration.
Support faculty and leadership with research planning, budget projections, and alignment of resources with divisional priorities.
Monitor highlevel financial performance of the research portfolio and identify risks related to funding sustainability.
Ensure divisional research activities align with sponsor requirements and institutional policies.
This position is not responsible for proposal submission, effort reporting, effort certification, or sponsor invoicing.
Human Resources and WorkforceManagement
Provide leadership for divisional workforce planning, organizational structure, and administrative staffing.
Recruit, supervise, evaluate, and develop divisional administrative staff.
Coordinate faculty and staff recruitment, onboarding, and position planning in collaboration with Departmental HR and Faculty Affairs.
Provide strategic input on compensation plans, productivity incentives, and income guarantees within departmental frameworks.
Advise the Division Chief on performance management, employee relations, succession planning, and retention strategies.
All HR transactions and policy interpretation are managed at the Department level.
Measurable Outcomes and PerformanceIndicators
Performance in this role will be evaluated using outcomes that mayinclude, but are not limited to:

Clinic session utilization and template optimization
Patient access and appointment availability metrics
Faculty and APP clinical productivity indicators (e.g., wRVUs)
Professional fee revenue performance against targets
Budget adherence and financial sustainability
Timeliness and effectiveness of operational reporting
Successful implementation of divisional strategic initiatives
Other Responsibilities
Represent the Division Chief on Departmental, College, or University committees as assigned.
Lead or participate in special projects supporting divisional, departmental, or institutional priorities.
Perform other related duties as assigned.
