Office Manager

DGA

San Francisco, CA โ€ข Hybrid

$75K - $85K/yr

Full-time

Medical, Dental, Vision, Retirement, PTO

Job description

DGA is a 175-person architecture firm with offices in Mountain View, Sacramento, San Diego and San Francisco. Since 1995, we have specialized in architecture, interiors and planning for the life sciences, higher education, healthcare, and mission critical sectors. Our San Francisco office is a fast-paced hub
that requires a unique hybrid of high-level administrative precision and proactive office hospitality.

We are looking for an Office Manager who views "no task as too small and no contract as too complex." You will be the face of the firm for clients and the backbone of the office for our architects.

This isn't a "sit-and-wait" reception role. You will balance two distinct worlds:

  1. Project & Contract Administration: You will act as a technical resource, assisting with the preparation of AIA Contract Documents, detailed contract completion and staffing reports.
  2. Office Stewardship & Hospitality: You will take personal pride in the physical environment-ensuring the "client-ready" state of the office by managing everything from snack inventory to kitchen maintenance.

Responsibilities (include but are not limited to...)

  • Assistingin the preparation and formatting of AIA Contract Documents, letters of agreement, and complex spreadsheets.
  • Supporting the lifecycle of architecture projects by assisting withconstructionsdocuments, letter writing and reprographic orders.
  • Owning the "look and feel" of the office. This includes regular checks of the reception and conference rooms, as well as loading/unloading the dishwasher and ensuring the breakroom is clean and welcoming.
  • Proactively managing and restocking office and kitchen supplies-ensuring the team never runs out of the essentials.
  • Planningand executing everything from weekly catered staff meetings to large-scale social parties and holiday events.
  • Serving as the primary contact for property management and building maintenance to ensure the facility is operating at peak efficiency.
  • This is a 5-day in the office position

Qualifications

  • 5+ years of administrative experience (A/E/C industry experience is a significant advantage).
  • Expert-level Google Workspace and MS Office. Powerful experience with Bluebeam and Deltek Ajera, AIA Contract Documents preferred,
  • Exceptional writing skills are a must. You should be able to draft a formal professional letter as easily as a firm-wide social invite.
  • You are detail-oriented, self-aware, and possess the "hospitality heart" required to keep a physical office running smoothly.

DGA is a fantastic company to work for, just talk to our people! Along with great pay, we offer excellent benefits including medical, dental, vision, disability, 401k, three (3) weeks of PTO, and an annual staff development allowance. We also have a very generous bonus program.

At the time of posting this job advertisement, the annual pay salary range for this position is between $75,000 to $85,000 commensurate with qualifications

No solicitors or recruiters, please.
