Our product team is scaling, and the initiatives we run are getting increasingly complex - there are more contractors, more dependencies and more moving pieces to keep in sync.  

The Program Manager is a newly created seat at the table; it is a chance to build the connective tissue that keeps a fast-moving product organization running smoothly, and to shape how that coordination works from the ground up. 

Reporting directly to the Chief Product Officer and partnering closely with Product Directors and Group Product Managers, you'll be accountable for providing the real-time picture of capacity, budget, and progress across squads and contractors. Furthermore, you'll help coordinate resource allocation, track progress against plan, and keep the roadmap moving, turning leadership's decisions into smooth, well-tracked execution. Your role will directly empower Directors and GPMs to define realistic and effective roadmaps and set the right priorities between competing initiatives. 

In this role, your responsibilities will include:

Roadmap & program management 

• Coordinate roadmap planning: timelines, deliverable tracking and milestone follow-up; 

• Prepare and coordinate the annual roadmap capacity planning exercise by compiling inputs from squads and contractors and presenting results to Directors and GPMs; 

• Run the intake process for new requests, assessing capacity, timing, and skill impacts after routing for a decision; 

• Maintain program plans for each initiative — tracking milestones, scope changes, and dependencies; 

• Maintain a program-level risk register and drive cross-squad tradeoff discussions when dependencies put timelines at risk; 

• Partner with PMs and engineering leads to sequence work and navigate technical tradeoffs; 

• Prepare consolidated status reporting for the CPO and executive team on progress, risks, and key decisions. 

Capacity, resource and budget management 

• Track actual vs. planned resource allocations and remaining work for across squad (internal teams and contractors) and provide Directors and GPMs with data-driven resource reallocation recommendations; 

• Own rolling budget forecasts, tracking actual spend vs. budget across contractor cost buckets and internal resources, including grants budget and project foundation (eligible spend, allocation, grant terms); 

• Flag budget variations early and drive course-correction; 

• Contribute to grant applications by pulling supporting data and metrics from across the team. 

Contractors, release and cross-team coordination 

• Coordinate contractors’ operations and logistics from onboarding to offboarding (kickoff, access/tooling setup, deliverable tracking, handover and closeout); 

• Facilitate recurring program rituals (e.g., biweekly task force syncs) and working sessions with leads and cross-functional groups; 

• Coordinate launch logistics across squads and contractors — timing, readiness checkpoints, handoffs, release notes and announcements – and continuously improve launch playbooks; 

• Identify and escalate flow and efficiency issues across squads, driving them toward resolution; 

• Maintain a centralized source of truth for program documentation — plans, trackers, risks, decisions.  

Requirements for the position include:

• 5+ years in program or project management, ideally in B2B SaaS or an AEC-adjacent environment; 

• Track record of managing complex programs with cross-functional teams — including significant external dependencies and multiple stakeholder groups; 

• Hands-on experience with roadmapping and project management tools (Aha!, Jira, or equivalent), as well as Confluence or similar documentation platforms; 

• Working knowledge of budget/forecasting concepts including burn rate, variance analysis, cost-bucket tracking and resource allocation; 

• Advanced Excel/Google Sheets: pivot tables, scenario modeling, formula-driven trackers, basic SQL or advanced data-querying skills are a plus; 

• Experience consolidating data from multiple sources into dashboards and executive-ready reporting, with the ability to turn ambiguous signals into structured, data-backed insights; 

• Strong cross-functional coordination and facilitation skills, with the ability to align engineering, product, and external contractors without formal authority; 

Nice to have qualification for this position include:

• Comfortable operating across different levels of the organization, with excellent written and verbal communication skills; 

• Proactive and self-directed, with a strong ability to identify gaps, risks, and dependencies and drive them toward resolution; 

• Able to thrive in ambiguity and fast-changing environments, with the ability to build practical processes and structure where none exists; 

• Paying high attention to detail and precision, particularly when managing capacity, budget, resource, and contractor data; 

• Comfortable using AI tools to improve productivity, analysis, reporting, and program operations; 

• Bilingual French/English - preferred (our teams are spread across different regions); 

• Experienced with grant reporting, a plus.
