Job description

POSITION OVERVIEW:

Hybrid Washington, D.C. or Angola, IN area preferred

The Executive Assistant to the President provides high-level administrative, operational, and strategic support to ensure the President can effectively lead Field to Market's mission, partnerships, governance, and organizational priorities. The Executive Assistant acts as a strategic gatekeeper, ensuring the President focuses exclusively on high-value relationships, board governance, and public-facing advocacy. This role requires exceptional professionalism, judgment, and discretion, along with the ability to anticipate needs, manage complex workflows, and represent the President with accuracy and poise.

RESPONSIBILITIES: Executive Support & Operations
  • Manage the President's calendar, including scheduling meetings, coordinating availability, resolving conflicts, and ensuring adequate preparation and briefing time.
  • Oversee email and communication management by prioritizing messages, drafting responses, and flagging time sensitive items.
  • Prepare briefing materials, talking points, presentations, and background research in advance of board meetings, stakeholder engagements, and strategic discussions.
  • Coordinate domestic travel, logistics, itineraries, and expense reporting with accuracy and timely documentation.
  • Maintain an organized system for tracking commitments, deadlines, and follow-ups across multiple strategic initiatives.
Governance & Board of Directors Liaison
  • Support the President in preparing for Board of Directors meetings, including agenda drafting, materials preparation, and documentation.
  • Assist in ensuring accurate records, governance compliance, and timely correspondence with board members and committee leaders.
  • Track board-related action items and help coordinate communication across governance bodies including committees, sectors, and councils.
Stakeholder & Member Engagement
  • Serve as a professional and reliable point of contact for members, partners, funders, and external stakeholders on behalf of the President.
  • Coordinate meeting logistics, materials, and follow-up communications to support member engagement and satisfaction.
  • Assist with managing relationships across diverse stakeholder groups, ensuring alignment with Field to Market's mission and strategic priorities.
Strategic & Organizational Support
  • Support the President's leadership in developing and implementing strategic priorities by maintaining project timelines, tracking milestones, and coordinating cross-team collaboration.
  • Assist in researching and preparing materials related to funding opportunities, grants, and public private partnerships.
  • Help maintain visibility and brand representation through coordination of speeches, appearances, and external communications.
  • Provide administrative support related to financial reporting, performance evaluations, policy development, and organizational planning.
REQUIREMENTS:
  • 5+ years of experience supporting senior executives or C-suite leaders.
  • Exceptional organizational, time management, and project management skills.
  • Excellent written and verbal communication skills, with a high level of emotional intelligence, professionalism, and diplomatic demeanor.
  • High proficiency in Microsoft Office Suite, CRMs, virtual collaboration tools, and remote work technology.
  • Ability to handle confidential information with impeccable discretion and judgment.
  • Proven ability to work independently, anticipate needs, and take initiative.
  • Familiarity with board governance and nonprofit operations.
  • Travel required (up to 15%), including occasional short notice travel.
Preferred:
  • Experience in a nonprofit, membership-based, sustainability, or agriculture-related organization.
  • Understanding of sustainable and regenerative agriculture.
  • Demonstrated ability to support complex stakeholder environments.
