Position Description:
Assist in procurement of specified products and services for construction projects.
Essential Duties & Key Responsibilities:

  • Assist Procurement team to process and secure products and/or services from qualified vendors and subcontractors.
  • Coordinate bid package documents, creation and distribution, to ensure clearly defined requirements for bidders.
  • Assist with collection and review of new and updated vendor and subcontractor prequalifications.
  • Participate in project meetings to support development of procurement schedule.
  • Assist with Bid Process, follow established procedures and participate in development of bid lists.
  • Understand project specific Underrepresented Business Enterprises (UBE) requirements to support tracking efforts.
  • Examine plans and specifications for deficiencies, construction issues, and technical questions; escalate findings for resolution.
  • Participate in review of bids and update bid recording sheet.
  • Take part in scope review meetings with competitive bidders and document action items.
  • Process awards with support from Procurement Agent/Manager.
  • Develop approval documentation of subcontractor award for client, if required by contract.
  • Develop knowledge of various contract forms and application of each form based on scope of work.
  • Prepare and issue various contract forms and follow up for timely execution of subcontract, receipt certificates of insurance (COI), Payment and Performance (P&P) bonds (if required), and other project specific items.
  • Assist with development of Risk Management Plans, as required.
  • Track receipt of initial Certificates of Insurance (CoI) and follow up on yearly renewals.
  • Track receipt of bonds, bond authentication, and consents of surety (e.g., reserve reductions, off-site material payments, and final payments).
  • Other activities, duties, and responsibilities as assigned.
