Job description

EASTERN TITLE DIVISION

Job Description:

Old Republic Title is seeking a detail-oriented and customer-focused Agency Administrator to support our agency operations in Virginia. This position serves as a key resource for agency partners, attorneys, and internal teams by assisting with agency onboarding, compliance updates, reporting, remittances, and day-to-day operational support. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and the capacity to manage multiple priorities in a fast-paced environment while representing Old Republic Title with professionalism and consistency.

Location: Onsite at our Manassas, VA location, with opportunity for a hybrid schedule after a probationary period. Monday - Friday | 8:30 AM - 5:00 PM

Key Responsibilities

Agency Administration & Support

  • Coordinate new agency set-ups and agency terminations.
  • Process appointments and maintain associated records.
  • Process approvals and additions of Approved Attorneys for CPLs (Closing Protection Letters).
  • Maintain and update the Agency Database (ADB), including:
    • Address and phone number changes
    • Contact updates and distribution lists
    • Agent Errors & Omissions (E&O) policy updates
  • Review, process and maintain agency-related forms, records, and documentation.
  • Respond to agency inquiries regarding Old Republic Title systems, services, and procedures or route requests to the appropriate department.
  • Process credit and background report requests for agency representatives.

Remittance Processing

  • Process agent remittance reports accurately and timely.
  • Handle title insurance rate calculation questions and provide guidance as needed.
  • Prepare premiums and policies for entry into the ADB system.
  • Assist with booking and balancing revenue records.
  • Support policy remittance processes using company systems and applications.
  • Create and maintain spreadsheets and reports related to agency operations.

Communication & Customer Service

  • Serve as a professional and responsive point of contact for agency partners.
  • Communicate effectively with agents, attorneys, management, and internal departments.
  • Represent Old Republic Title in a professional and positive manner at all times.

Team Responsibilities

The Agency Administration team serves as the primary resource for:

  • Agency set-ups and terminations
  • Agency appointments and officer validations
  • Agent E&O policy management
  • Approved Attorney processing and maintenance
  • Background and credit report requests
  • Marketing Cloud communications and notifications
  • General agency updates and database maintenance
  • Remittance report processing
  • Rate calculation support and guidance

Qualifications

  • Administrative, title insurance, banking, mortgage, legal, or related industry experience preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Ability to learn and effectively utilize proprietary company systems and applications.
  • Strong customer service mindset and problem-solving abilities.

The estimated pay range stated represents the typical pay range for this position or similarly employed employees or employees performing substantially similar work. Factors which may be used to determine the actual pay rate may include, but are not limited to, education, training or experience; seniority; merit and work performance; quantity or quality of production; regional differences in compensation; differences in local minimum wages, or ability and effort.

Position's Pay Range:

$28.21 - $30.77 an hour.
