We are seeking to hire candidates for our Administrative Assistant II (5063) - AEE&M / REE&M.

Salary Range: $59,540.00-$74,412.00       

OVERALL DESCRIPTION

Assists in the coordination of all administrative, secretarial, and clerical functions for the department. Assists with day-to-day operations within the organization.

SPECIFIC RESPONSIBILITIES
  1. Manages the daily administrative functions of the department.
  2. Provides assistance in administrative and secretarial related functions.
  3. Reads and routes incoming mail, oversee filing of correspondence and other records.
  4. Responsible for maintaining attendance records and inputting payroll into CAPES/INFOR.
  5. Responsible for administrative tasks which includes scheduling meetings, receives, and disseminateinformation, relieving manager of clerical and minor business details.
  6. Prepares and coordinates travel arrangements for staff.
  7. Interfaces with various levels of management both inside and outside the authority.
  8. Prepares various reports, PowerPoints and/or Spreadsheets.
  9. Composes letters, memos and correspondences as necessary.
  10. Serves as back up for other Administrative Assistants as appropriate.
  11. Complies with all Authority and departmental safety and security policies and procedures as well asapplicable job safety responsibilities. Reports and safety concerns, compromises, or hazards affectingoperations, the public, self and/or other employees. Responsible for personal safety and is encouraged topromote the safety of others.
  12. Performs other duties and assignments as directed.
QUALIFICATIONS AND EXPERIENCE
  • High School Diploma or equivalent with a minimum of eight (8) years administrative/secretarial experience in the coordination of office procedures and reports.
  • An equivalent combination of education and experience (one (1) year of post high school education equating to two (2) years of relevant experience) may be considered in lieu of the above listed requirements.
  • Must possess the ability to coordinate and handle all administrative functions in a fast-paced environment. Must be able to handle multiple duties simultaneously with various deadlines.
  • Prior to interview, candidate must pass current AA testing requirements established by the Testing Department (or have been previously qualified under prior testing standards).
  • Demonstrate experience in working with highly confidential issues and material in a discreet manner in required.
  • Must possess strong administrative and organizational skills required.
  • Working knowledge of SuccessFactors, CAPES, and ASI.
  • Must possess excellent oral and written communication skills including grammar, spelling, and proofreading skills.
  • Proficiency in MS Office, Outlook, and Access.
  • Excellent interpersonal skills, to deal effectively with a wide range of individuals at all levels, required.
