Job Title: Legal Administrative Assistant

Location (city, state): Vienna, VA (Hybrid)

Assignment Type: Contract-to-Hire

Pay: $20 – $25 / hour ($45,000 – $60,000 annually upon conversion, based on experience)

Work Schedule: Monday–Friday, 9:00 AM–5:30 PM (40 hours / week). Hybrid schedule with mostly remote work; in-office 2 – 3 times per month for trial preparation.

Job Description:

Our client is seeking a highly organized Legal Administrative Assistant to support the founding attorney with the daily management of client matters and office operations. This individual will play a critical role in coordinating new client intake, managing legal documentation, maintaining case files, communicating with clients, scheduling meetings and court-related activities, and ensuring deadlines are met. The ideal candidate has experience working behind the scenes with Virginia court procedures, is highly systems-oriented, and thrives in a fast-paced legal environment.

Key Responsibilities:

  • Coordinate and manage new client intake from multiple sources.
  • Open, maintain, and close physical and electronic case files.
  • Draft, edit, proofread, and prepare legal correspondence and court filings.
  • File documents with Virginia and Washington, D.C. courts and arbitrators.
  • Serve as the primary point of contact for clients, providing updates and scheduling meetings.
  • Manage the attorney's calendar, including hearings, depositions, mediations, and deadlines.
  • Conduct legal and case-related research as needed.
  • Assist with billing, expense tracking, and general administrative support.
  • Collaborate with the firm's part-time legal support staff to ensure efficient workflow.

Qualifications:

  • Minimum of 2 years of experience in a legal office environment.
  • Familiarity with Virginia court procedures and filing processes required.
  • Experience supporting litigation or real estate law practices preferred.
  • Proficiency with Microsoft Office 365 (Word, Outlook, Excel, Teams, OneDrive).
  • Experience with Adobe Acrobat Pro and legal practice management software, preferably Clio.
  • General knowledge of AI tools and technology to improve efficiency.
  • Excellent written and verbal communication skills with a professional and empathetic client-service approach.
  • Degree or certificate preferred; equivalent legal administrative experience will be considered.
